Mako Industries is hiring anAdministrative Coordinator that will play a vital role in supporting the daily operations of the Commercial Construction Department. This position ensures that all administrative functions related to project management, vendor coordination, reporting, and compliance are executed efficiently and professionally. The ideal candidate will be detail-oriented, organized, and capable of managing multiple priorities in a fast-paced construction environment.
- Provide comprehensive administrative support to the construction team, including project managers, estimators, and site supervisors.
- Assist in the preparation, tracking, and management of construction project documentation (Timekeeping, Purchase Orders, Updating Data).
- Maintain and organize construction project files and ensure document control standards are followed.
- Coordinate meetings, prepare agendas, take minutes, and follow up on action items.
- Interface with vendors, subcontractors, and clients to collect documentation.
- Assist in managing permitting processes and ensuring all local, state, and federal requirements are met.
- Prepare reports, spreadsheets, and presentations for internal and external stakeholders.
- Monitor and order office and job site supplies as needed.
- Perform other administrative tasks as needed to support the department.
- Associate’s degree or higher in Business Administration, Construction Management, or related field preferred.
- 2+ years of administrative experience, preferably in a commercial construction or related industry.- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Excellent organizational, communication, and time management skills.
- Ability to manage competing priorities and work under tight deadlines.
- Ability to work both independently and collaboratively with project teams.
- Primarily office-based with occasional visits to active construction sites.
- May require occasional overtime to meet project deadlines.
