Requirements
The Administrative Assistant - Projects provides administrative support to management and staff. Primary responsibility will be to assigned department but will need to interface and provide support to other departments on an ad hoc or project basis.
Key Tasks and Responsibilities:
- Regularly interface with Subsea Project Managers on project specific needs
- Consistently and correctly use internal information management systems
- Maintain inventory and generate Purchasing Requisitions for needed supplies and services through internal ERP system
- Take responsible care of health and safety for employee and others and to take necessary steps to protect the environment
- Complete Goods Receipts and upload appropriate back up documentation into ERP on any project purchase order specific needs
- Weekly time entry/tracking of offshore personnel hours into ERP system
- Weekly handling of offshore personnel expense reports, including verification, obtaining approvals and final submission to payroll department
- Assist with department travel account reconciliation, including weekly collection of receipts to support the charges and assign applicable charge codes for expense
- Scan, copy and archive documents as required
- Report all health, safety and environmental concerns to the HSEQ manager
- Other duties as assigned
- High school diploma / college courses or equivalent work experience
- A minimum of three years of experience as a Department/Administrative Assistant for an Oil & Gas company with a preference in the subsea sector
- Knowledge and experience of the purchasing process
- Knowledge of the receiving processes
- Proficient with standard business application software
- Proficient in Microsoft Packages - Word, Excel, PowerPoint, MS Project
- Clear written and verbal communication skills
- Excellent organization, problem solving and multitasking skills
- Self-motivated, positive attitude and willingness to offer assistance
- Ability to work as a team player, patient and professional
- Flexible and convey positive attitude
