Hardline Engineering is currently looking for an Administrative Assistant to join our team! Reporting to the Executive Leader, the Administrative Assistant will provide essential administrative support across multiple departments and functions. The ideal candidate will demonstrate strong organizational skills, exceptional attention to detail, the ability to manage multiple tasks simultaneously, and excellent communication abilities.
- Assist in daily office operations, providing general support to management and team members as required.
- Maintain an organized office environment by ordering and maintaining office supplies and equipment.
- Maintain and organize administrative systems, processes and templates to streamline operations.
- Prepare, review and submit expenses for the executive team and management in compliance with company policies.
- Manage calendars for executives including scheduling meetings, appointments and travel arrangements.
- Organize and manage internal and external events.
- Monitor expenditures and ensure all spending remains within the approved budget.
- Manage relationship with building management company and building cleaners.
- Organize, maintain and update company records and files ensuring documents are accurate, easily accessible and securely stored.
- Managing company vehicle maintenance and scheduling.
- Assist in the preparation and follow-up of meetings, including taking notes and tracking action items.
- Additional duties as assigned.
- Valid Class 5 Driver's license and clear driver’s abstract.
- Post secondary education in business admin considered an asset.
- 1 year experience in corporate administration an asset.
- Proficiency with computer systems and applications including the Microsoft Office Suite.
- Strong attention to detail and problem-solving abilities.
- Self-motivated, positive attitude, strong client focus and results driven.
- Ability to communicate effectively, verbally and in writing with internal and external customers, stakeholders and co-workers.
- Excellent organizational skills that demonstrates the ability to resolve conflicting priorities.
