We are seeking to add a motivated and experienced Administrative Assistant to join our team. Reporting to the Utah Area Leader, the successful candidate will play a vital role in coordinating and executing office administration, project coordination, and other related administrative assignments. They will also be responsible for promoting the professional image of the company as our front desk representative. The ideal candidate is able to work independently and efficiently and is a self-starter with excellent verbal and written communication skills. The following are general responsibilities for the position:
· Manage all administrative tasks for our local Utah office, assisting Company Officers, Managers, and Superintendents with administrative needs as required
· File all company documents electronically while keeping the company filing system organized and maintained
· Coordinate with Payroll, Accounts Payable, and Accounts Receivable Administrators on weekly document workflow
· Maintain office to ensure all areas are neat and organized
· Monitor stock levels and order office supplies
· Coordinate with office service providers (phone, internet, water, etc.) to ensure the office runs efficiently
· Set up and download appropriate software/applications for office computers and phones
· Troubleshoot common technology issues experienced by local Office and Field Team Members
· Process newly hired Team Members and complete necessary paperwork
· Answer local office phone system, transfer calls, and relay voicemail messages
· Plan and manage all local company celebrations, parties, and team building events
· Interact and collaborate with all Area Office Managers throughout the company
· Preferred: Bachelor’s degree Business Administration or related field (or equivalent experience).
· 2 -4 years of experience in clerical or administrative role (or 6 years if no Bachelor’s degree)
· Excellent communication skills, both written and verbal
· Strong work ethic and a desire to work and learn in the construction industry
· Ability to swiftly adapt to shifting priorities while maintaining attention to detail
· Ability to handle sensitive and confidential information with discretion
· Self-starter, capable of executing tasks with little or no direction
· Proficient in technology with a demonstrated ability to diagnose and resolve common IT challenges
· Ability to work well and assimilate in a team environment
