Position Title: Admin Assistant I

Pay Rate: $22.00- $24.00/ hour DOE
Essential Functions:

The Administrative Assistant will be responsible for providing administrative support to our office personnel. The Administrative Assistant works directly with the Operations teams to create work packets and enter projects into Vista. This includes working with the General Managers and Supervisors to provide information, follow-up on questions and assistance as needed. This position also uses customer systems to obtain work orders, and follows up as needed with the GM's, Supervisors and/or customers. It might also require taking and receiving calls, taking messages, and directing calls as needed.
Roles and Responsibilities:
•Responsible for welcoming visitors and directing them to the appropriate office / personnel.
•Carrying out clerical duties such as answering phone calls, responding to emails, and preparing documents, including office correspondence, memos, presentations, etc.
•Coordinating and managing appointments, meetings, and the conference room schedule in order to prevent duplicate bookings.
•Maintain filing systems, both electronic and physical.
•Purchasing office supplies, equipment, and furniture.
•Overseeing the maintenance of office facilities, and equipment.
•Handles all incoming and outgoing mail (FedEx, UPS, etc.)
•Handles food ordering and hospitality for meetings (except for BOD Meetings).
•Data entry and reporting assignments/projects as requested from Peak USG staff.
•Schedules travel for and completes the expense reporting processes for all non-executive Peak USG staff.
•Serves as landlord contact.
•Positive Presence in the Workplace: Providing polite and professional assistance to colleagues. Being helpful and maintaining a positive atmosphere.
•Decision-making: need to make independent decisions on a daily basis, addressing the best way to handle specific tasks.
•Communications and collaboration: must collaborate with other administrators and support personnel, management and clients on a regular basis.
•Organizational skills: The ability to maintain order and ensure executives don’t miss appointments or deadlines.
•Writing: drafting emails, letters, documents, know how to write professionally, using proper spelling and grammar.
•Performs other duties as assigned.

Experience and Education:
•High School diploma or GED required.
•2+ years working in an office setting.
•Prior receptionist or office administrator experience preferred.
Additional Requirements/Licenses/Certifications:
•Possession of, or ability to obtain, a valid State of Residence Driver’s License is required within two weeks of employment.
•Candidates must pass criminal and Motor Vehicle Record (MVR) background checks and pass a pre-employment drug screen.
