Position Summary
LND Technical Services, LLC is seeking a reliable and detail-oriented Administrative Assistant to join our team full-time. This role supports a variety of operational, financial, and human resources functions to ensure efficient internal processes and cross-departmental collaboration.
The ideal candidate is highly organized, demonstrates professionalism, and is comfortable working independently with minimal supervision. Key Responsibilities
Administrative Support
•Perform general office duties including answering phones, scanning, filing, and managing correspondence, order office supplies, PPE, and maintaining inventory
•Manage travel arrangements, meeting scheduling, and shipping logistics
•Serve as point-of-contact for internal communications and administrative requests
•Support document creation and formatting, including project folders, reports, and manuals
•Assist with internal recordkeeping, data entry, and digital file organization
•Prepare and edit correspondence, reports, presentations, and other documents as needed
•Send reminder emails as requested (e.g., expense submissions via Expensify, training deadlines, etc.)
•Assist with proposal submission as needed
Maintain Business licenses and certifications
Operations & Project Support
•Monitor insurance documents and request Certificates of Insurance (COIs)
•Assist with vehicle registration, and maintaining vehicle licensing records
•Maintain accurate weekly or project-specific timekeeping
•Coordinate with subcontractors to gather compliance documentation
Human Resources Support
•Assist with onboarding and offboarding processes, ensuring completion of required documentation.
•Track employee safety training, credentials, and required documentation
•Provide support related to employee documentation and recordkeeping
•Help prepare HR reports and documentation as requested
•Help organize employee engagement and recognition initiatives
•Maintain and update employee files in accordance with HR guidelines and confidentiality standards
•Collaborate with other departments to support HR-related initiatives
•Handle confidential information with integrity and professionalism
Additional Duties
•Assist field teams with scheduling, supply needs, and report coordination
•Assist in organizing special events, i.e.: monthly birthday celebrations, holiday events, etc.
•Act as backup for other administrative roles as needed
•Perform other duties as assigned by management
Qualifications
•High school diploma or GED required; Associate’s degree in business, accounting, or related field preferred
•2–5 years of relevant administrative, accounting, or HR support experience
•Proficiency in Microsoft Office (Outlook, Word, Excel); QuickBooks experience a plus
•Prior experience with timekeeping, software applications, or cost control systems a plus
•Experience with construction, energy, or field-based environments is a plus
•Strong communication skills and the ability to maintain confidentiality
•High attention to detail with excellent organizational and time management abilities
•Ability to work independently, prioritize competing tasks, and adapt in a fast-paced setting
•Valid driver's license and reliable transportation required
Work Environment & Physical Requirements
•Regular in-office presence is required; remote work is not available for this position
•Must be able to sit and work at a computer for extended periods
•Occasional lifting of office materials or supplies up to 15 pounds
•May require occasional local errands related to administrative or operational support
