JOB SUMMARY:

Perform daily activities related to supporting the accounts payable (AP) function as well as general clerical duties to support the accounting and finance department.


Responsibilities:

1. Process vendor invoices accurately and timely, ensuring proper coding and approvals in accordance with company policy.

2. Prepare and execute weekly check runs and ACH payments.

3. Organize invoices from mail, email and interoffice handling by “company” and “PO vs non-PO”.

4. Reconcile vendor statements and research discrepancies or unpaid invoices.

5. Monitor and respond to vendor inquiries in a professional and timely manner.

6. Collaborate with internal departments to resolve purchase order and invoice issues.

7. Support general ledger reconciliations.

8. Assist with bank reconciliations.

9. Support audits by providing required documentation and responding to inquiries

10. Contribute to process improvement initiatives related to AP efficiency including implementation of ACH payments.

11. Maintain organized and accessible records in both physical and electronic formats.

12. Foster a collaborative, respectful team environment helping to onboard new team members or temporary staff when needed.

13. Occasionally lift and move boxes of files or documents weighing up to 25 lbs.


QUALIFICATIONS:Educational Requirements:

Associate’s degree in Accounting, Finance or related field required (Bachelor’s degree preferred).


Experience/Skills/Abilities:

2+ years in Accounts Payable required (Great Plains experience preferred).
Experience with full-cycle AP, including invoice processing and payment runs.
Proficient in Microsoft Excel.
Strong organizational and attention to detail skills.
Ability to communicate professionally with employees and vendors related to AP.
Ability to learn a new automated accounts payable processing system and assist in training new end users.
