Job Summary:
The Work Management Specialist is responsible for supporting construction and maintenance operations by ensuring work is efficiently scheduled, tracked, and executed. This role requires strong organizational skills, attention to detail, and effective communication to coordinate with internal teams, field personnel, and external stakeholders. Operating within established standards and procedures, the Specialist ensures timely and accurate completion of administrative and work management tasks. This is a non-exempt position reporting to multiple managers and involves maintaining confidentiality and professionalism.
Key Responsibilities:
•Provide high-quality customer service and administrative support to construction and maintenance teams.
•Ensure timely scheduling and execution of work orders.
•Use systems and tools to communicate updates, changes, and status reports to team members and leadership.
•Maintain daily updates to work management systems with current job status and details.
•Coordinate and facilitate communication between internal teams and external teams.
•Assist in the reconciliation of labor, materials, and equipment costs on work orders to ensure field accuracy.
•Support error resolution and close-out of construction work orders in the work management system.
•Prepare meeting minutes, track action items, and support project documentation as needed.
•Uphold confidentiality with sensitive company and employee information.
•Continuously build job knowledge related to construction standards, prints, compatible units, and field operations.
Required Qualifications:
•High school diploma or GED.
•Strong customer service and interpersonal skills.
•Proficient in Microsoft Office Suite (Word, Excel, Outlook).
•Ability to work collaboratively within a team environment.
•Excellent verbal and written communication skills.
•Strong organizational skills and the ability to manage multiple tasks in high-pressure situations
