Expected salary range of $108,900 to $121,000, varies based on experience, along with comprehensive benefits package that includes bonus and 401(k).
The Transportation Scheduler/Analyst reports to the Supervisor, Transportation Scheduling. As a schedule coordinator the primary purpose is to oversee and supervise the centralized scheduling functions of the Transportation Department. As a schedule coordinator this role is responsible for the safe, efficient, and compliant scheduling of all flights under control of the Transportation Department. As a business analyst this role will assist with running reports for the Transportation Leadership Team and provide support and back-up to the Business Analyst.
- Ensure safety by coordinating the scheduling of company aircraft in compliance with FAA, ICAO, and company regulations and industry best practices, maintaining awareness of regulatory updates, and overseeing compliance within the flight department. Assist the Transportation Leadership Team in emergencies or critical incidents by coordinating responses per the Emergency Response Plan, and actively participate in Safety Management System initiatives and adherence to SMS policies and procedures.
- Ensure compliance with aviation regulations, company policies, and standard operating procedures by overseeing all scheduled trips, coordinating with department leadership, flight crew, vendors, executive administrators, executives, corporate security, corporate legal, and airport authorities to meet requests and requirements, and assisting as a member of the Safety and Standards Team.
- Plan and oversee customer travel arrangements by considering logistics, fiscal efficiency, aircraft performance, and weather; perform independent quality control for trip planning; assist in developing and implementing aircraft fleet utilization, schedules, and supplemental lift; coordinate with maintenance to optimize resources; track schedule changes and factors affecting aircraft and crew assignments; and assign crew members in the absence of the Chief Pilot or designated pilot.
- Oversee training and supervision by providing technical guidance and support, assisting with training program and record oversight, and managing passenger cabin safety training scheduling and record keeping while completing assigned duties and tasks.
- Ensure operational efficiency by collaborating with the Chief Pilot, flight crews, and the Chief of Maintenance to optimize flight operations, minimize delays and disruptions, and maintain reliable performance, while annually reviewing scheduling procedures with clients and executive assistants to promote efficient and dependable aircraft scheduling.
- Maintain accurate records of flight activities, assist with electronic training records updates, and support reporting and documentation needs for regulatory authorities, management, and leadership; serve as liaison between flight crews, maintenance, management, and regulators to ensure effective communication; manage and deliver key performance indicators for the safety team; and review and verify flight logs for accuracy and completeness.
- Assists the Business Analyst with invoices, bill payment, analysis of budget and billing execution and other request as needed.
- Drive continuous improvement by identifying opportunities for process enhancements, cost reductions, and increased efficiency in flight operations, implementing innovative technologies, training programs, and best practices to strengthen productivity, safety, and corporate culture.
- Attends business aviation related conferences annually to keep aircraft and flight crews up to date with latest innovations and improvements.
- Accept additional duties assigned by the Transportation Department Director.

- Bachelor's degree in Business, Finance, Data Analytics or related area with 5-years of experience including administrative support, dispatching, aviation scheduling, and customer service. Or Associate's degree in Business, Finance, Data Analytics or related area with 7-years of experience including administrative support, dispatching, aviation scheduling, and customer service. Or minimum of 9 years' experience in Business Aviation

- Familiarity with business aviation scheduling software (e.g., PFM, FlightBridge, SchedAero, FOS, Alianis, FlexJetOps)
- Knowledge of FAA Part 91/135 regulations and crew duty/rest requirements
- Experience working directly with flight crews and maintenance teams
- Demonstrated customer service skills with experience supporting executives or high-profile clients
- Advanced Excel, SQL, or database query experience
- Familiarity with business intelligence tools (Power BI)
- Experience in process improvement methodologies such as Lean Six Sigma
- Knowledge of aviation operations, scheduling workflows, or crew resource planning
- Proven experience translating data insights into strategic recommendations for leadership
- Proven ability to manage stakeholders and present effectively to executive leadership
