Job Purpose
Under general supervision, delivers a full range of administrative services to district personnel. Performs all tasks related to contracting, invoicing and collections. Within established guidelines, make independent decisions about planning, organization and scheduling of own work. Ability to resolve routine questions and problems, and refers more complex issues to management. Must have good knowledge of EFCO and basic understanding of the organizational structure. May assist in orienting and training other employees.
Essential Functions
Provides Administrative support functions and data entry for contracted orders, routes executed contracts and related documents, ensuring the overall contracting process is met. Oversees TM's use of appropriate sales tools to ensure accuracy in Salesforce and PP.Net, and necessary approvals have been completed. Electronically notifies customers within required time frames, ensuring all invoice, down payments, security deposits, and lien bond information is provided to guarantee the overall contracting process is met. Update Sales Plans and Ship dates as needed. Assist in weekly meetings.
Account Maintenance for customer accounts receivable balances, develops customer relationships to ensure all facets of the collection process is complete and within required time standards. Fulfill customer requests for waivers, W-9, and Certificate of Insurance. Maintain 660 collection effort notes. Provide CICC with updated collection comments for accounts on the weekly Top 10 report and potential bond/lien claims. Assist with invoice revisions, purchase conversion, credits, refunds, and closeouts.
Office Support including, but not limited to greeting customers, answering phones, setting appointments, maintaining schedules, organizing meeting & office events, arranging travel & lodging. Timekeeping in Kronos-UKG/Dayforce.Order & keep inventory of office supplies, EFCO Gear, 3D printing supplies and general upkeep of office equipment. Maintaining district files, opening account orders, and providing support to all district personnel.
Maintains customers contact database in Salesforce, including maintenance to FORM MARKS mailing list, and ensure all user information is accurate.
Trains and supports use of appropriate sales tools (e.g.: Salesforce, Project Plan, EFCO Online, Invoice Retrieval, and Sharepoint.
Performs other job-related duties and special projects upon request.
Requirements
High school diploma or equivalent, plus 2-5 years of experience in sales, collections, or administrative support field. Must also have above average interpersonal and written skills, with ability to prioritize assignments and adapt to changes in daily tasks when necessary. Must be proficient in Microsoft Office Suite (WORD, Outlook, Excel, PowerPoint), and Teams. Have the ability to type 55 words per minute. Experience in Salesforce, a plus. Detail oriented, good numeric and alpha skills, as well as general filing and recordkeeping abilities. Must be able to work independently and maintain confidentiality. No travel required
