Job Description
Perform a wide variety of administrative and clerical duties to support the sales department's sales personnel and manager.
Essential Duties And Responsibilities
include the following. Other duties may be assigned.
•Under general supervision to proceed alone on regular duties, use and knowledge of word processing, personal computer software, company sales products and procedures to prepare correspondence, compile sales and marketing information.
•Provide marketing materials to sales personnel and customers. Expedite customer orders as requested.
•Write up, code, and enter sales orders when needed. Proofread entered orders when needed.
•Process lost/damaged claims and maintain records on all return goods authorization for debits and credits. Type up sales representative call reports and log special sales orders into the appropriate record.
•Maintain various sales records and archive those beyond certain established dates. Prepare and mail catalogs and binders to customers as required.
•Perform special projects using the computer.
•Use personal computer, data entry terminal, fax machine and other usual office equipment including digital scanners.
•Prepare and submit reports, documents and records required by company policy.
•Utilize individually and/or further the use of total quality concepts, tools, and techniques to support continuous quality improvement in all processes in which the position participates with a positive "Can Do" attitude.
•Observe all company policies and regulations including safety, housekeeping, confidentiality of information, and quality of work with support of ISO procedures and standards.
•Perform other duties as requested or necessary to meet business conditions and changes.
•Ability to train in the Shipping Department area in small packaging and/or picking and packing product. Support, encourage and maintain a positive team working atmosphere throughout the company.
Qualifications
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
•Must have the ability to utilize Microsoft products such as Word and Excel.
EDUCATION And/or EXPERIENCE
•High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
Language Skills
•Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Mathematical Skills
•Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages.
REASONING ABILITY
•Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
