We are seeking an experienced Recruitment & Compliance Administrator to join our team. This role plays a critical part in supporting workforce onboarding, compliance management, and site coordination within the turnaround, scaffolding, and insulation services sectors. The ideal candidate will bring direct industry experience to ensure smooth operations and adherence to all regulatory and client requirements.
- Recruitment
- Liaise with site supervisors to confirm workforce requirements, ratios (AIT, apprentices, labourers, ticketed staff), and job details
- Manage job postings in ADP, Workhub, and social media channels.
- Issue and track offer letters, Personnel Transfer Forms, and contractor forms.
- Coordinate with HR for onboarding and maintain the Master List of new hires and transfers
- Compliance & Administration
- Set up and monitor employees in Workhub, ISN/Skills Passport, Etc.
- Validate tickets and certifications (CSO, H2S Alive, trade qualifications, etc.)
- Ensure subcontractor and employee compliance, including cleared-for-site documentation.
- Administer AIT registrations and maintain accurate apprentice records.
- Manage Cognito forms and related data entry for safety, coveralls, and contractor documentation.
- Safety & Risk Management
- Provide administrative support for safety programs, ensuring compliance with client and regulatory requirements.
- Act as Insurance-approved driver liaison, ensuring compliance with driver policies.
- Assist with safety audits and reporting.
- Communication & Liaison
- Act as the first point of contact for new hires, subcontractors, and returning employees.
- Coordinate with supervisors, HR, and site administration for payroll, billing, and compliance updates.
- Issue “Cleared for Site” confirmations once all requirements are met.
- Industry experience in energy, construction or related trades is strongly preferred.
- Strong understanding of workforce compliance systems (ie: Workhub)
- Familiarity with AIT processes, apprenticeship administration, and safety certifications.
- Proven administrative background in recruitment, HR, or site coordination.
