We have a need for a full-time Proposal Coordinator to assist the Sales Groups with proposal creation. The Proposal Coordinator will have constant interaction with Sales Agents, Administrative Assistants, Customers, Estimators, and Applications Engineers.
Some of the work that you will do:
- Receive, track and distribute all bid inquiries to various groups and/or Estimators.
- Process and assign to the appropriate Sales Manager, Estimator, or Application Engineers any RFQ's on the day of receipt
- Receive, compile and send proposals from various groups and/or estimators.
- Maintain all fields and records in the proposal database.
- Produce and distribute database reports.
- Receive and route phone call from internal and external customers.
- Assist Sales Group, as needed, to support trade shows (possible travel required)
- Support Agent training sessions.
- Organize meetings including room preparation and meals, as needed.
- High School Diploma or its equivalent
- One or more years of administrative or secretarial experience.
- Proficient or higher computer skills in programs such as MS Word, Excel, Windows, Outlook, and Adobe.
- Highly proficient typing, proofreading, clerical, and organization skills.
- Strong ability to manage competing requirements, and/or interruptions while achieving all stated deadlines.
- Assertive and outcome driven with the ability to work with a team and rally support.
- Excellent verbal and written communication skills with the ability to provide a high level of customer service to internal and external customers.
- Ability to maintain a positive attitude and self-motivation.
- Ability to accommodate schedule changes on short notice, including limited and infrequent overtime.

- Bachelor's degree or equivalent work experience.
- Two or more years of administrative or secretarial experience.
- Ability to work at a computer workstation and use a phone for extended periods
- Regularly required to move about the office and interact with team members
- Occasionally required to lift and/or move up to 40 pounds
