Description:
The Plant Administrator is responsible for a variety of duties including assistance with, and oversight for, data collection and reporting for budgeting, permitting, operations, and maintenance and the applicable administrative duties to support efficient and effective plant operations.
Responsibilities:
Plant Administration
•Processes all incoming and outgoing mail, parcels and trucking deliveries; handles all correspondence.
•Collects, records, and supports the assigned plant location(s) in all daily, weekly, monthly and less frequent reporting requests.
•Provides administrative support to assigned plant location(s) including scheduling, communication, and event management.
•Answers telephone calls and emails; responds to corporate, vendor, employee and visitor questions and inquiries.
•Greets visitors and contractors as the primary contact point at the site. Assists in managing the attendance board(s).
•Tracks purchases and reconciles with budget.
•Performs office supply and first aid inventories and reorder as necessary.
•Creates and maintains monthly operations and maintenance binders.
•Files documents accordingly in both physical and cloud-based locations.
•Performs routine office maintenance and cleaning including taking out trash, vacuum, general office upkeep.
Organizational Support
•Supports the Plant Manager with the creation and management of Authorization for Expenditure (AFE) and Purchase Order (PO) forms via NetSuite.
•Completes site hazard training and orientation for contractors and visitors to the site, once trained
•Partners with Accounts Payable to ensure timely payment of vendor invoices.
•Coordinates with Health and Safety and Purchasing team during review and selection of new vendors.
Requirements:
•High school diploma or GED.
•Three or more years of experience in an office environment. Experience in a manufacturing office preferred.
•Strong knowledge of Microsoft products, specifically Outlook, Excel, and Word.
•Knowledge of or experience with database programs, such as NetSuite or related.
•Valid driver’s license and an acceptable driving record.
•Ability to be flexible and adaptable based on current plant needs.
•Strong communication skills, verbal and written.
•Ability to work in an office environment and use keyboard, mouse, and other related peripheral equipment.
•Ability to view a computer monitor screen and/or mobile device for prolonged periods of time.
•Ablility to bend, squat, twist, reach, and use hands and arms.
•Ability to withstand outdoor weather elements, e.g., wind, sun, cold, heat, rain, snow or dust.
•Ability to work in a plant environment which may include work near moving machinery, exposure to fumes or airborne particles, loud areas, and hot piping.
•Ability to lift up to 20 pounds, on occasion.
Location:
•On-site position based in Hazen, NV with occasional support in Fallon, NV.
