Role
Reporting to the Payroll Supervisor and Financial Controller, the Payroll Clerk is responsible for performing data entry and related accounting duties such as reconciling, processing and summarizing timesheets and payroll information. This position requires effective communication skills, attention to detail and strong organizational skills to meet weekly payroll deadlines.
Responsibilities
•Ensures timely and accurate processing of weekly payroll cycles.
•Ensures compliance with payroll laws, prevailing wage requirements (including Davis-Bacon and related state regulations), and tax regulations in all operating states.
•Tracks and processes prevailing wage rates, fringe benefits, and labor classifications; prepares and submits certified payroll reports for public works projects.
•Monitors hours worked and classifications to ensure alignment with contract-specific wage determinations.
•Collaborates with Project Controllers and Managers to ensure accurate timesheet coding, approval, and resolution of discrepancies.
•Tracks billable vs. non-billable time, including training and travel.
•Works with HR to ensure accurate employee setup, applicable fringes and benefit deductions.
•Ensures accurate documentation of vacation, earnings, and adjustments in Viewpoint.
•Responds to employee inquiries related to timesheets and pay in a timely manner.
•Assists with payroll tax filings, reconciliations, and year-end reporting.
•Supports general office functions such as filing and maintaining payroll records.
Requirements
Qualifications
•Diploma in Payroll, Accounting, Finance, or Business Administration is required.
•Certified Payroll Professional or Fundamental Payroll Certification preferred
•1-3 years of experience in payroll processing is considered an asset.
•Proficiency in Microsoft Excel and other Microsoft Office applications is a must
•Experience with multi-state payroll tax reporting.
•Strong knowledge of payroll principles and practices, including tax laws and regulations
•Proficiency in payroll software and Microsoft Office Suite, particularly Excel
•Exceptional attention to detail with a high degree of accuracy in data entry
•Excellent communication skills, both written and verbal
•Ability to maintain strict confidentiality and discretion regarding sensitive information
•Strong organizational skills and the ability to manage multiple tasks and priorities
