Position Summary
The Inventory Specialist is responsible for plant communication (incoming/outgoing), plant clerical, purchasing, inventory control, accounting and business support functions, as well as providing back-up to the Administrative Manager. This position will report to both the Liberty and Patriot Maintenance Managers.
Major Duties & Responsibilities
•Administer accounts payable functions to include verification of items purchased, invoicing records, co-ordination with the
•Administrative Manager, Maintenance Manager, vendors, and other Plant personnel.
•Greet visitors and direct to the appropriate person.
•Answer incoming calls and route to the appropriate person.
•Track and Report parts issued and received at each facility on a weekly basis.
•Assist with maintaining all plant business files and document control logs collect and document Vendor time sheets for support of PO and Work order completion.
•Support purchasing and lead inventory control requirements to include routine warehouse inventory and parts accountability.
•Maintain office supply inventory and track usage as necessary.
•Support procurement and accounts payable functions
•Must obtain pricing for inventory items, make inventory labels, and put parts in correct bin locations.
•Sign for delivery, unpack boxes, and verify contents match packing slip; must date, stamp and sign packing slips and file PO’s.
•Maintain inventory control requirements to include receiving inventory, assigning a location, creating new part numbers, tracking materials/parts used and facilitating cycle counts.
•Coordination with Administration Manager on any inventory transactions, issues, or problems to aid in monthly reporting.
•Find and maintain all inventory items for maintenance and E&I in Maximo.
•Set up new and maintain inventory items in Maximo.
•Enter PR’s in Maximo and process PO in PS for inventory items, goods and services (Goods=parts that are not inventoried).
•Arrange site fork truck unloading large parts.
•Resolve discrepancies on orders.
•Create receipts in Maximo for Services PO’s.
•Manage obsolete parts removal from inventory and organize the warehouse inventory.
•Responsible for the planning, execution and final reports out for 1st trimester cycle count and year end physical inventory events.
•Coordination with Maintenance Manager, vendors, and other Plant personnel to include attending morning meetings as necessary to stay informed of plant activities.
•Perform and complete other tasks as requested by the Administrative Manager
•Able to Lift between 50 lbs.
•Assigned to work at and travel between multiple locations.
All plant employees must work safely at all times.
•Working in varied outdoor environments such as all weather conditions, all noise levels, hazardous conditions, and on the full range of outdoor work surfaces.
•The frequent use of protective equipment (i.e. hard hats, safety glasses, air masks, ear protection, chemical suits, hot gloves and high voltage protective equipment, etc.) may be required. Work with hazardous materials may also be required.
•Working in proximity to high voltages and current with proper training and equipment, operating heavy equipment and rolling stock and entering confined spaces or hazardous environments may be required while often being exposed to equipment and machinery noises.
•Duties require walking, standing for extended periods, sitting, climbing vertical and inclined ladders and stairs.
•Exposure to extreme heat and cold.
•All candidates will participate in the post-offer physical examination and drug screening and post-employment random drug screening. There are extensive smoking restrictions in and around the facility.
Education/Experience Required
•Must have excellent verbal and written communication skills.
•Intermediate MS Office skills.
•Desire to take on added responsibilities and ability to manage/prioritize multiple assignments while meeting deadlines.
•High School Diploma or equivalent
•The ability to understand procedures and instructions specific to the area of assignment.
•2 years general office experience
•1 year warehouse experience
