We’re looking for an Operations Specialist to support our growing engineering and consulting division at RMS Energy. This role is ideal for someone with strong administrative experience, attention to detail, and a commitment to delivering timely, organized business support. As an Operations Specialist, you’ll assist with job scheduling, order tracking, billing, procurement, and customer communication, keeping our internal systems and client services running smoothly.
- Enter orders and jobs into the production system (Sage) and update as needed
- Maintain production status, shipping details, and scheduling logistics following team meetings
- Support the Operations Manager or Business Administrative Manager with technician scheduling, travel planning, and maintaining itineraries
- Provide customer service support and coordinate customer billing, invoicing, and purchase order processing
- Assist with material procurement by generating and confirming purchase orders and resolving any discrepancies
- Oversee office and shipping supply inventory, and copier/printer maintenance
- Ensure accurate job hand-off processes and support job cost tracking for labor, expenses, and materials
- Compile branch payroll data and review labor reports for accuracy, resolving discrepancies as needed
- Support inside sales by accessing web-based systems to provide information or documentation
- Ensure vendor invoices and expense records are accurately posted and reported
- Respond to emails daily and address high-priority tasks promptly
- Follow up with customers and field teams to resolve outstanding project or billing issues
- Support shipping/receiving processes to meet customer deadlines
- Maintain regular communication with field support staff to address operational needs
- Answer incoming calls professionally and route them appropriately
- 3–5 years of experience in an administrative or office-based support role
- Strong organizational and interpersonal skills, including experience working with technical teams and customers
- Ability to follow written and verbal instructions and resolve multi-step problems
- Proficiency in basic math and verbal communication using professional English
- Proficiency in Microsoft Office Suite
- Able to work remotely with minimal travel
- Bachelor’s degree in business or related field preferred (or equivalent experience)
- Legally authorized to work in the United States
- Must successfully complete a background check and pre-employment/random drug tests
- Public Notary certification
- Familiarity with Sage ERP or CRM systems
- Experience with Sage, CRM systems, and public notary credentials
- Experience supporting technical field teams or engineering departments
