About This Job


Description:

The Business Operations Specialist ensures the Corporate office runs smoothly and supports key administrative functions across the organization. This position is the first point of contact for visitors and callers and plays a central role in managing company records, vendor setup, compliance documentation, and general office operations. This position also is key to supporting operational and service functions such as documentation, record keeping and key compliance items. You will also work closely with Human Resources to assist with employee engagement activities and special projects.


Requirements:


Duties and Responsibilities

- Greet and assist visitors, maintaining a professional and welcoming front office environment.

- Manage incoming calls; screen, transfer, or address inquiries as appropriate.

- Monitor visitor access and uphold office security protocols.

- Receive, sort, and distribute mail and packages; manage outgoing mail and deliveries.

- Maintain inventory and order office supplies to ensure consistent availability.

- Coordinate company branded merchandise, inventory, and distribution

- Maintain master files, email and account listings

- Manage secure document storage and coordinate scheduled record destruction.

- Oversee vehicle titles, registrations, and renewals to ensure regulatory compliance.

- Coordinate vendor onboarding and manage required documentation.

- Support Department of Transportation (DOT) compliance, maintaining accurate and current records.

- Assist with business licensing, building permits, and other regulatory filings.

- Partner with Human Resources to assist with company events, employee engagement activities, and related administrative tasks.

- Provide general administrative support across departments

- Perform other duties and special projects as assigned


Job Requirements/Skills

- Excellent verbal and written communication skills.

- Strong customer service orientation and interpersonal skills.

- Highly organized with the ability to prioritize and manage multiple tasks.

- Attention to detail and accuracy in handling documentation.

- Proficient in Microsoft Office Suite (Word, Excel, Outlook).

- Ability to handle confidential information with discretion.

- Strong problem-solving skills and ability to work independently.

- Dependable and punctual with a proactive work ethic.


Education/Experience

- High school diploma or equivalent required.

- Associate’s degree in Business Administration, Office Management, or related field preferred.

- 2+ years of administrative, receptionist, or office support experience.


Physical Requirements

- Prolonged periods sitting at a desk and working on a computer.

- Must be able to lift up to 15 pounds (e.g., office supplies, packages).

- Ability to move about the office to access files, office equipment, and supplies.

- Occasional bending, stooping, or reaching may be required for file management or storage retrieval.
