Position Overview

We’re looking for a proactive and detail-oriented Operations  Coordinator/ Office Manager

 to support our goals of improving operational excellence across the organization. This full-time, hybrid role (1 day a week remote)—based in our Montreal office—plays a vital part in working with the Governance and Operations manager to help implement cross-functional initiatives, improve and document internal systems and processes, and provide support services towards facilitating the smooth running of office operations.


Key Responsibilities


Operational Improvements & Tool Enhancement

Work closely with the Governance and Operations Manager to identify, implement, and support tools that enhance organizational and operational effectiveness.

Assist in executing cross-functional initiatives, such as:
The organization-wide rollout and adoption of Microsoft Teams Phone.
Ongoing support and optimization of Monday.com as a project management tool.
Engage with staff and stakeholders to review and document existing business processes, identify operational challenges and recommend improvements to Manager based on user needs.
Develop clear, user-friendly Standard Operating Procedures (SOPs) and internal guidelines.
Maintain and regularly update the organization’s strategic and operational project plans. Utilizing KPIs in the creation of dashboards, and reporting tools to support decision-making.
Provide administrative support for operational projects, including managing document version control, creating presentation decks, and maintaining shared resources.
Manage document libraries and Basecamp Groups for the four Governance Committees, ensuring versions are up-to-date
Assist in onboarding new employees by coordinating documentation, tool access, and introductory logistics.


Office Management

Oversee day-to-day office operations, including supply procurement, arranging for equipment maintenance, and vendor coordination.
Manage the magazine returns process and provide general support for office systems and tools.
Coordinate travel logistics for staff and guests, including booking flights, accommodations, and other related arrangements.
Coordinate mailing and courier services.


Qualifications

2+ years of experience in project coordination, office management, or related roles
Strong organizational and communication skills with
Experience in customer service
Proven ability to manage multiple tasks and work collaboratively across departments.
Familiarity with digital tools and platforms that support operational improvement.
Proficient in Microsoft Office Suite; experience with AMS or CRM systems is an asset.
Fluency in both English and French.

Nous sommes à la recherche d’un(e) coordonnateur(trice) des opérations / gestionnaire de bureau proactif(ve) et minutieux(se) pour soutenir nos objectifs d’excellence opérationnelle au sein de l’organisation. Ce poste à temps plein, en mode hybride (1 jour par semaine en télétravail), basé à notre bureau de Montréal, joue un rôle essentiel en travaillant avec la gestionnaire de la gouvernance et des opérations pour mettre en œuvre des initiatives transversales, améliorer et documenter les systèmes et processus internes, et offrir un soutien opérationnel pour assurer le bon fonctionnement du bureau.


Responsabilités principales

Amélioration des opérations et optimisation des outils

Collaborer étroitement avec la gestionnaire de la gouvernance et des opérations pour identifier, mettre en œuvre et soutenir les outils qui améliorent l'efficacité organisationnelle et opérationnelle.

Contribuer à la mise en œuvre d’initiatives transversales, telles que :
Le déploiement et l’adoption à l’échelle de l’organisation de Microsoft Teams Phone.
Le soutien continu et l’optimisation de Monday.com comme outil de gestion de projets.
Travailler avec le personnel et les parties prenantes pour examiner et documenter les processus d’affaires existants, identifier les défis opérationnels et recommander des améliorations à la gestion en fonction des besoins des utilisateurs.
Développer des procédures opérationnelles normalisées (PON) claires et conviviales ainsi que des lignes directrices internes.
Maintenir à jour les plans stratégiques et opérationnels de l’organisation. Utiliser des indicateurs de performance (KPI) pour créer des tableaux de bord et des outils de suivi pour appuyer la prise de décision.
Offrir un soutien administratif pour les projets opérationnels, y compris la gestion du contrôle des versions de documents, la création de présentations, et la gestion des ressources partagées.
Gérer les bibliothèques de documents et les groupes Basecamp des quatre comités de gouvernance, en s’assurant que les versions soient à jour.
Soutenir l’intégration des nouveaux employés en coordonnant la documentation, l’accès aux outils et la logistique d’accueil.


Gestion de bureau

Superviser les opérations quotidiennes du bureau : achats de fournitures, coordination de la maintenance de l’équipement, gestion des fournisseurs.
Gérer le processus de retour des magazines et assurer un soutien général aux systèmes et outils de bureau.
Coordonner la logistique de voyage pour le personnel et les visiteurs : réservations de vols, hébergement et autres arrangements connexes.
Gérer l’envoi de courrier et les services de messagerie.


Qualifications

Minimum de 2 ans d’expérience en coordination de projets, gestion de bureau ou poste connexe.
Excellentes compétences organisationnelles et en communication.
Expérience en service à la clientèle
Capacité démontrée à gérer plusieurs tâches simultanément et à collaborer avec différentes équipes.
Connaissance des outils numériques et plateformes soutenant l’amélioration opérationnelle.
Maîtrise de la suite Microsoft Office; une expérience avec des systèmes de gestion de membres (AMS) ou CRM est un atout.
Bilinguisme (français et anglais) requis.
