Summary:
The Onboarding Specialist plays a critical role in supporting a consistent and successful experience for all new hires across the company. This role is responsible for coordinating logistics, preparing materials, and ensuring each new employee’s first 90 days are structured, intentional, and aligned with team expectations. A key part of this position involves partnering with hiring managers to build onboarding plans that are tailored to the role, location, and team needs.

- Coordinate onboarding schedules and pre-start logistics for all new hires including tools, equipment, uniforms, systems access, and introductions.
- Collaborate with hiring managers and field leaders to build role-specific 30/60/90-day onboarding plans that set clear expectations and support development.
- Manage onboarding content, welcome materials, and orientation guides that reflect company values and culture.
- Ensure onboarding checklists are completed and timelines are tracked accurately across multiple departments and job functions.
- Schedule orientations, safety training, jobsite tours, and introductory meetings with key stakeholders.
- Coordinate with Operations, IT, Safety, and Fleet teams to ensure everything is in place before the employee’s first day.
- Continuously evaluate the onboarding process and contribute ideas for improved structure, communication, and retention.
- Support the Director of People and Culture with reporting, follow-up, and special initiatives related to the employee experience.
- Strong organizational skills with the ability to manage multiple onboarding timelines and deliverables at once.
- Exceptional attention to detail and consistency in tracking and following up on tasks.
- Clear, professional verbal and written communication skills across all levels of the organization.
- Ability to build structure in a fast-moving environment and confidently own processes.
- Basic proficiency in Microsoft Office (Word, Excel, Outlook) and comfort with digital tools for checklists, scheduling, and tracking.
- Strong follow-through and accountability for ensuring all onboarding steps are completed.
- Familiarity with construction job roles, field terminology, and trade expectations.
- Experience coordinating onboarding, training, or project schedules in an operational or field-based setting.
- Understanding of 30/60/90-day planning frameworks and how they support new hire integration and retention.
- Knowledge of safety protocols and site-readiness considerations for new field employees.
- Experience working cross-functionally with operations, safety, IT, or fleet management teams.
- Knowledge of Procore and other Construction industry Software
This position requires team collaboration and presence at in-person meetings and is best suited to a traditional work schedule. Occasional remote work is acceptable.
- Occasional travel typically within a 150-mile radius of the office.
- Occasional travel to various job site locations as needed for photography or milestone events.
- Ability to sit and/or stand for prolonged periods of time.
- Ability to see well (naturally or with correction).
