SERVPRO® of The Windsors is a leader in the fire and water restoration industry. We are growing our team and are looking for a highly organized Job File Coordinator / Reconstruction Administrator to join our office. In this role, you'll be responsible for overseeing job files and providing administrative support for project management tasks. You will collaborate closely with teammates to ensure projects are completed with the highest quality and efficiency.
· Engage with customers, maintain communication, and positive relationships with clientele.
· Interact with Project Managers, crews and office personnel to ensure effective completion of job documentation and duties.
· Communicate with homeowners and insurance professionals to capture and share information.
· Complete and review job file documentation for final upload and the audit process
· Complete job file audit process (will be trained)
· Manage all incoming and outgoing documentation for construction projects, including contracts, permits, COIs, and other items as needed.
· Provide administrative support to project managers and field teams.
· Interact with insurance professionals, subcontractors, vendors, and clients to facilitate smooth project operations.
· Assist with ordering materials, equipment, and supplies, tracking deliveries, and managing invoices and purchase orders.
· Assist with processing invoices, tracking expenses, and managing project budgets.
· Effective communication skills, both written and verbal.
· Excellent organizational skills and strong attention to detail.
· Ability to learn new software, including Xactimate® and proprietary software.
· Ability to manage multiple tasks efficiently while maintaining accuracy.
· Preferred: Experience in the mitigation or construction industry.
· 9am- 5:30pm, 40 hours/week, flexible to work overtime when required.
