Carr's Tree Service is seeking an Inventory and Fleet Manager to be responsible for planning, coordinating, and overseeing all activities related to inventory control and fleet operations. This role ensures that all materials, equipment, and vehicles are tracked, maintained, and utilized efficiently across multiple locations. The manager plays a critical role in supporting field operations, minimizing downtime, and maintaining regulatory compliance—particularly with OSHA, ANSI, DOT, and industry standards.
Key Responsibilities:
Inventory Management
Inventory Systems Oversight:
•Manage inventory management platforms such as S.O.S., ensuring accurate real-time tracking of all stocked items including uniforms, tools, equipment, consumables, and seasonal items.
Inventory Planning & Forecasting:
•Analyze usage trends to project future needs and adjust stocking levels to support seasonal demands and field crew requirements. Partner with finance to establish cost-effective purchasing strategies.
Stock Control:
•Maintain optimal inventory levels at all locations by conducting physical counts, reconciling discrepancies, and adjusting records accordingly. Implement cycle counting and audit routines.
Warehouse Operations:
•Supervise warehouse activities and ensure efficiency with processes including receiving, shelving, staging, picking, and shipping. Ensure proper labeling, bin management, and clean, organized storage areas.
Loss Prevention:
•Develop and enforce procedures to prevent theft, loss, or damage. Establish controls and reporting protocols for high-value items.
Compliance:
•Collaborate with safety directors to ensure compliance with OSHA, ANSI, DOT, and industry regulations concerning the proper selection of inventory items and storage and handling of materials (e.g., flammable or hazardous items).
Team Management:
•Ensure cross-training and continuous communication among team members across multiple locations for operational continuity.
Vendor & Supplier Relations:
•Build relationships with suppliers to negotiate pricing, track lead times, and manage deliveries. Resolve issues with damaged or missing goods.
Equipment and Parts Expertise:
•Maintain working knowledge of tools, vehicle parts, and mechanical components stocked for fleet repairs and job site needs.
Fleet Management
Fleet Tracking & Reporting:
•Use Fleetio or similar software to monitor vehicle location, usage, maintenance schedules, fuel consumption, and repair history.
Preventive Maintenance Scheduling:
•Develop and execute preventive maintenance programs for each fleet category. Minimize unplanned breakdowns by ensuring timely inspections, oil changes, tire checks, and other routine servicing.
Regulatory Compliance:
•Ensure all fleet operations comply with DOT regulations, OSHA safety practices, and ANSI equipment standards. Maintain required documentation such as registration, insurance, and inspection records.
Fleet Diversity Management:
•Oversee a wide range of fleet types, including light-duty trucks, utility vans, heavy-duty service vehicles, bucket trucks, trailers, off-road vehicles, and specialized arborist equipment. Understand their unique maintenance needs and operational constraints.
Fleet Replacement & Procurement:
•Evaluate the performance, age, and cost efficiency of vehicles and make recommendations for replacements. Lead procurement processes including spec development, vendor negotiations, and delivery oversight.
Accident & Damage Response:
•Investigate accidents or mechanical failures. Coordinate with insurance, repair shops, and safety personnel to resolve issues and document incidents.
Field Support & Troubleshooting:
•Provide reliable, timely support to field crews, managers, and various staff members. Understand operational needs and align inventory and fleet services accordingly.
Fuel & Telematics Management:
•Monitor fuel usage patterns to identify waste or inefficiencies. Utilize telematics systems to gather data on driving behavior, idle time, and route optimization.
Parts & Repair Oversight:
•Maintain understanding of equipment, parts, and systems to effectively manage parts inventory and support repair decisions.
Vendor Coordination:
•Work closely with third-party service providers, dealerships, and in-house technicians to schedule and execute vehicle repairs and inspections.
Job Qualifications:
•Proficiency in inventory management and fleet management software (e.g., S.O.S. or Fleetio).
•Proven experience in inventory management and fleet management.
•Strong analytical and problem-solving skills.
•Excellent communication and leadership abilities.
•Ability to work collaboratively across departments.
•Degree in Business Administration, Supply Chain Management, Logistics, or a related field is a plus.
