An Inside Sales Specialist at Hagler Systems provides integral support in both pre- and post-sale efforts. They play a key role in driving spare parts sales by delivering superior customer service. They will serve as the primary point of contact for customer inquiries, providing timely quotes, processing sales orders, and updating customers on the status of their orders. Daily objectives center on clear, accurate communication and effective order management, ensuring customers receive both the right materials and essential information. In addition to order-related responsibilities, this position will also perform critical administrative duties that contribute to the success of the sales team and the company overall. This role relies heavily on digital communication channels like phone, email, and online platforms to build rapport and understand customer needs.

- Responds promptly and professionally to Requests for Quotations (RFQs).
- Provides comprehensive quotes, including recommended parts, pricing, lead times, delivery schedules, shipping terms, and applicable company terms and conditions.
- Ensures all quotations are accurate and distributed to relevant parties promptly.
- Maintains part numbers, pricing, and customer details in the ERP system.
- Receives and validates customer purchase orders/sales orders for accuracy and completeness, ensuring all quoted and/or contractual details match.
- Accurately drafts, issues, and communicates order confirmations after purchase order validation using the preferred customer method.
- Maintains open communication with Warehouse/Materials Management and Customers to ensure delivery requirements are met.
- Enforces the company’s terms and conditions, including cancellation and restocking as needed.
- Process all sales orders. Orders items or materials necessary to fulfill customer orders. Verifies that the order is complete in the system.
- Provides status reports on orders.
Monitors delivery dates and informs customers of delays or changes.
- Maintains Open Order Reports for vendors and customers as required.
- Effectively communicates with all stakeholders.
- Communicates with internal and external logistics teams regarding pickups and deliveries.
- Maintains orderly and accurate files, ensuring they are readily available in ERP.
- Investigates and resolves customer issues related to deliveries, shipping, or order status, providing supporting documentation as needed.
- Collaborates with Accounts Payable & Accounts Receivable to resolve pricing discrepancies.
- Completes assigned duties and responsibilities within designated timeframes, keeping the manager informed of any issues or irregularities.
- Addresses customer inquiries and works diligently to resolve any issues, concerns or conflicts.
- Demonstrates accountability, courtesy, professionalism, and timeliness in all interactions.
- Prepares International Sales Reports.
- Provides backup support to colleagues as needed.
- Proficiency in using ERP systems and Microsoft Office Suite.

- High school diploma or GED required. An associate's degree is preferred.

- Experience with ERP software. Oracle/SAP/Microsoft Dynamics a plus.

- Able to pass a pre-employment drug screening and background check.
- Able to remain stationary for long periods, sitting at a desk and computer.
- Ability to speak clearly and listen attentively.
- Able to read and interpret information on computer screens, including data, sales reports, and product information.
