The HSE Administrator provides comprehensive administrative and coordination support to the QHSE department, with a focus on streamlining employee orientation processes, managing documentation systems, and ensuring efficient use of company platforms and tools. This role plays a key part in bridging administrative gaps, improving onboarding efficiency, and maintaining accurate, confidential records in compliance with company and regulatory requirements.
- Schedule, track, and confirm employee orientation sessions, ensuring timely booking and completion
- Maintain employee training records in the Learning Management System (LMS) and ensure data accuracy
- Administer and update the LMS from the QHSE standpoint, including enrolling users, and tracking progress
- Manage and update company contract management platforms, including uploading, reviewing, and archiving documents
- Generate status reports from LMS and contract systems for management review
- Serve as the key contact for QHSE documentation control, ensuring documents are accurate and accessible
- Maintain version control of documentation requirements
- Assist with compiling QHSE performance reports and records for audits and inspections
- Manage computer-based systems, ensuring proper data organization and user accessibility
- Support IT-related requests for the QHSE department, coordinating with internal or external providers as needed
- Maintain department calendars, meeting coordination, and follow-up on action items
- Handle sensitive employee, training, and contract information with strict confidentiality
- Follow all company policies, procedures, and regulatory requirements
- High school diploma or GED required; associate or bachelor’s degree preferred
- 3+ years of administrative experience, preferably in an industrial, energy, or QHSE-related environment- Proficiency with Learning Management Systems (e.g., SAP SuccessFactors, Moodle, or similar)
- Experience with contract management platforms (e.g., DocuSign CLM, Concord, or similar)
- Strong computer literacy, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience managing and organizing document control systems
- Highly organized with excellent attention to detail
- Proactive problem-solver with the ability to anticipate needs
- Strong written and verbal communication skills
- Ability to handle confidential information discreetly
- Comfortable working independently and managing multiple priorities
- Familiarity with ISO 45001, ISO 9001, or API Q1/Q2 documentation standards is an asset
- Office-based role in Spring, Texas
- May require occasional travel for training or site visits
- Standard working hours with flexibility for urgent training or QHSE needs
