Job Summary
We are seeking a highly organized and proactive Facility Administrator/Business Office Manager to oversee the daily operations of our facility. This role requires a dynamic individual capable of managing administrative functions, coordinating events, supervising staff, and ensuring smooth office management. The ideal candidate will possess strong communication and organizational skills, along with experience in office administration, human resources, bookkeeping, and vendor management. At a minimum a first shift and second shift administrator is needed.
- Oversee daily facility operations, ensuring efficiency and compliance with organizational policies , and human resources
- Manage calendar scheduling for meetings, events, and appointments
- Scheduling of 30 plus employees
- Monitor training & development to enhance team performance
- Handle human resources functions such as onboarding, payroll processing, and employee record keeping
- Oversee time worked and limit overtime hours
- Manage front desk operations including multi-line phone systems
- Organize filing systems for documents, records, and correspondence in both physical and digital formats
- Supervise office supply inventory and ensure timely procurement of necessary materials
- Ensure compliance with safety protocols and coordinate maintenance or repairs as needed
- Proven experience in office management, administrative roles, or facility administration
- Must have Project Management certification or Six Sigma at least green belt
- Supervising experience of at least 30 plus employees for at least 5 years with demonstrated leadership skills
- Proficiency in calendar management tools, and MS Office Suite (Word, Excel, Outlook)
- Ability to coordinate multiple projects simultaneously
- Experience in budgeting, bookkeeping, payroll processing, and human resources functions
- Excellent communication skills with professional phone etiquette and organizational abilities
- Demonstrated ability to manage teams effectively and foster a collaborative work environment
- Exceptional organizational skills with attention to detail in filing systems and record keeping
