Position Overview: We are seeking a highly organized and detail-oriented Document Control Specialist to play a vital role in supporting our design and construction teams. This position will be responsible for managing project documentation, maintaining records, and providing administrative support to ensure seamless project execution. You’ll report to and work closely with our Contracts Administrator to help maintain operational efficiency and documentation accuracy across all active projects.
Key Responsibilities:
•Manage and maintain physical and digital project documentation throughout the design & construction project lifecycle.
•Distribute, organize, archive, and retrieve project documents and correspondence, including digitizing mailed documents and extracting email attachments.
•Prepare and coordinate outgoing communications such as transmittals, cover letters, and mailings to external parties.
•Maintain project tracking systems and complete detailed project information sheets.
•Assist with certified payroll documentation and the drafting of AIA contract documents.
•Reconcile contractor documentation, including pricing for change orders, construction change directives, and pay applications.
•Communicate with clients, contractors, and stakeholders to follow up on agreements and ensure documentation is complete.
•Provide occasional administrative support, including courier duties and front desk backup.
Preferred Skills & Qualifications:
•Strong organizational skills with the ability to manage large volumes of documents and maintain orderly filing systems.
•Attention to detail to ensure accuracy in documentation, record-keeping, and data entry.
•Proficiency with Microsoft Office (especially Excel and Word), Adobe Acrobat Pro, and familiarity with project tools like Procore, Speclink, or Deltek Ajera
•Clear and professional written and verbal communication skills.
•Knowledge of construction documentation and terminology, including familiarity with AIA contract documents and processes.
•Ability to manage multiple deadlines simultaneously, prioritize tasks, and work independently or collaboratively with minimal supervision.
•Problem-solving skills to identify and resolve discrepancies in documentation.
•Discretion and professionalism in handling sensitive or confidential information.
•Solid administrative experience, including scanning, mailing, and data entry.
•Degree in business administration, construction management, or a related field is a plus
