This position is responsible to store, manage and maintain project documents, while ensuring accuracy and quality. This includes processing documents for revision, approval, organizing from beginning to end of the project life. At the beginning of the project, the document control specialist helps to generate the master document register and ends with producing the final manufacturing data book.
Responsibilities:
- Maintain the flow of electronic project documents throughout the life of the project including logging, tracking, maintaining revisions and communication between company and customer
- Create and maintain master document registers and complete manufacturing data books through the life of the project
- Assess completeness and accuracy of attached documents and prepare soft copies.
- Record files into company and customer system according to transmittal numbers and disseminate according to matrix.
- Check promptness and approval of documents and ensure their timely turn over.
- Assess and transmit documents through pdf and zip files, customer portals or other systems.
- Provide necessary assistance to engineering in documentation and oversee accuracy through collation of libraries and manufacturing systems.
- Facilitate and resolve customer queries with the engineering and project management teams
- Facilitate and complete timely distribution of documents and execution of procedures.
- Maintain archive of documents and ensure all documentation follows government norms and provide issue resolution services.
- Coordinate with customers on exchange of information and revision of documentation.
- Required: High school diploma or equivalent (GED)
- Preferred: Bachelor’s degree in business or other similar
- Must have excellent organizational skills
- Minimum 3-5 years of experience as a document control specialist
- Excellent computer skills including Microsoft Office products, Adobe or other pdf software and ERP systems
- Strong verbal and written communication skills.
- Excellent time management skills.
- Ability to liaison with customers
- Must be able to recognize and be discreet with sensitive business-related materials.
- Must be able to work with people to accomplish assigned tasks.
- Must be able to read, understand, learn and follow written and verbal safety, quality and work instructions.

- This position will require working 100% indoors in a smoke-free office at a manufacturing facility.
- Limited travel to customer locations may be necessary
- Occasional assignments may include evening or weekend schedules.
- The noise level is usually moderate. Employee will occasionally work near moving mechanical parts.
