Document Controller Analyst

in Girardot, Colombia to be part of our global team working together towards our vision –

As our

Document Controller Analyst

you will assist in all aspects of project documents in country -

Type of contract - fixed term up to (3) years. Main Responsibilities

- Create all additional document profiles for internal documents as instructed by Project Document Controller.

- Create all document profiles as per the SMDL’s and return the Project document numbers (DocID) to the Contractors.

- Upload all document deliverables received by transmittal.

- Checking and editing documents for accuracy and compliance.

- Send documentation on workflow according to the Project distribution matrix and controlling the flow of documents in and out of the department.

- Follow up that all the workflow processes are completed.

- Generate outgoing transmittals - Return the documents with Acceptance code and comments to the Contractor/Supplier.

- Control the receiving and log all Site Daily Diaries in the system.

- Process all e-mails received in the project email box for both projects according to the Project Mailbox and Email use Guideline .

- Control the correspondence according to the Quick Guide – Correspondence Register.

- Make sure the templates and the Project users are updated and available.

- Manage the External Sharing Site.

- Provide training to the new project staff at site in the Document Management System for both locations.

- Document status reporting to Project Document Controller and Project Technical Manager.

- Support other Document Control needs as per Project Document Controller requests.

Qualifications And Competencies

- Education: University Degree (can be replaced with relevant experience).

- Strong English language – spoken and written.

- Experience: 5+ years in Document Control experience, preferably on EPC/Construction Projects.

- Basic understanding of Engineering / Procurement / Construction / Commissioning documents.

- Excellent MS Suite software knowledge.

- Familiar with EDMS.

- Good working knowledge of SharePoint.

- Knowledge of ISO9001.
