We are seeking a highly organized and detail-oriented Executive Assistant to join our team. This role combines administrative support for company leadership with responsibilities in data entry, accounts payable (AP), accounts receivable (AR), and bookkeeping. The ideal candidate will ensure accurate financial record-keeping, streamline daily operations, and provide executive-level support to help the organization run efficiently.
- Provide executive assistant support including scheduling, email management, document preparation, and coordinating meetings.
- Perform bookkeeping tasks including AP/AR processing, reconciling accounts, and recording transactions in QuickBooks.
- Input and update data in databases and QuickBooks with a high level of accuracy.
- Prepare and maintain financial reports, invoices, and payment records.
- Assist with data entry tasks, document organization, and general office administration.
- Maintain electronic and physical filing systems for both administrative and financial records.
- Collaborate with leadership and team members to ensure financial and operational accuracy.
- Maintain confidentiality of sensitive financial and company information.
- Proven experience as an executive assistant, administrative assistant, or office manager.
- QuickBooks experience with knowledge of AP/AR processes and general bookkeeping.
- Strong data entry skills with excellent attention to detail.
- Proficiency in Microsoft Office Suite, especially Excel for managing and analyzing data.
- Excellent organizational and time-management skills with the ability to handle multiple priorities.
- Strong verbal and written communication skills.
- Ability to work independently and maintain high accuracy under deadlines.
