We are hiring one (1) full time, temporary (up to 9 months) Coordinator, Fleet Maintenance position working out of Aurum facility in Edmonton, AB.

The Coordinator, Fleet Maintenance is accountable for ensuring vehicle preventative maintenance and repair activities are appropriately coordinated and meet customer expectations. This position is responsible for updating various fleet systems including but not limited to Telematics, Garage Management System, and the Fleet Management System. In addition, the Coordinator supports the administrative activities of Fleet Services and manages a wide variety of administrative functions for the Manager of Maintenance Planning and Coordination.


What you’d be responsible for

Maintain a professional and courteous demeanor as the first point of contact for fleet maintenance.

Liaising with EPCOR’s internal maintenance shop, other Fleet Services team members, EPCOR’s fleet management company, operations staff and third-party service providers to minimize overall downtime of vehicles and equipment; Ensuring operations staff are supported in obtaining necessary maintenance and repairs, updating and maintaining databases (fleet systems) and generating reports from these systems as required; escalating issues when appropriate to the manager.
Work closely with the Fleet Management Company and other third parties to coordinate recovery, boosting, tire repair, mobile equipment repair services.
Ensuring all reported defects from various sources are converted to work requests in the GMS or are repaired via third party vendors through the FMC system.
Maintaining and monitoring Fleet SharePoint, shared email inbox and other information sources to ensure alignment of records with Fleet standards and that records are current, searchable and easy to locate.
Providing input to the Manager’s plans and directions, especially with respect to administrative and system requirements for the team and ensures on-going appropriate relationships with other positions.
Demonstrate high performance skills in a safe, accountable, focused, innovative and achievement-oriented environment. Lead by example through positive behaviours and attitude. A high level of confidentiality is required in this role.
Coordinating all business unit level activities to support NSC compliance, including but not limited to:
+ Track and monitor repair of reported defects + Manage unit files to ensure compliance + Assisting with the auditing process + Other compliance reporting as required
Developing, implementing, and continuously improving Fleet Services processes, procedures, templates, standards and best practices that align with department and corporate policies. Constructively communicate processes and requirements to external stakeholders including external service providers and business unit fleet groups and employees.
Provide support with fleet rental coordination.
Other administrative duties as required.


What’s required to be successful

Grade 12 diploma, G.E.D. or equivalent education is required.
Diploma or certificate in Business, Engineering, or Fleet Management is considered an asset.
Minimum 5 years of administrative experience required; fleet administration experience is an asset.
Experience in scheduling and coordinating vehicle repair and maintenance inspections is preferred.
Ability to work in a high pressure and fast paced environment.
Understanding of fleet governance (federal and provincial) requirements, fleet policies, processes and procedures.
Extensive administrative experience in document, information and records management.
Experience with fleet management systems is considered an asset.
Demonstrated proficiency with MS Office (PowerPoint, Word), advanced Excel, Oracle, SharePoint and SharePoint administration experience
Demonstrated knowledge in the following:
+ Construction vehicles, trailers and equipment maintenance and repairs + Management of vehicle databases + Rental vehicle procedures + Alberta Vehicle Registry programs and services

Class: A3 Wage: Starting at $33.21 per hour (Final Wage and Step will be determined at the time of selection and are subject to change based on ratification of the new collective agreement).

Hours of work: 80 hours biweekly
