Job Overview:
The Contract Administrator plays a critical role in supporting project management, operations, and accounting functions by overseeing and coordinating subcontractor documentation, ensuring contract compliance, maintaining project records, and assisting with financial processes. This role requires strong organizational skills, attention to detail, and the ability to communicate effectively with internal teams, vendors, and subcontractors.
Duties:
•Support the accounting and construction departments in daily operations and administrative tasks.
•Assist in the preparation, issuance, and tracking of subcontracts, purchase orders, and related contractual documentation.
•Organize and track subcontractor pay applications, lien waivers, insurance certificates, and bonds to ensure compliance and timely payments.
•Distribute subcontractor checks and maintain accurate logs for check distribution and pickup.
•Update and maintain subcontractor recap sheets and contract tracking logs.
•Assist with the preparation of weekly payroll and certified payroll reports; review subcontractors’ certified payrolls for accuracy and compliance.
•Prepare and support documentation related to change orders.
•Maintain properly executed agreements and supporting documents in both digital and physical formats.
•Perform extensive file maintenance, including subcontractor files, client databases, and archived records.
•Input invoices, purchase orders, pay applications, and reports into the accounting system accurately and efficiently.
•Support accounting operations through clerical tasks, document organization, and vendor file management.
•Answer and route incoming phone calls professionally and courteously.
Requirements:
•Solid understanding of administration procedures.
•Ethical and confidential handling of payroll and financial information.
•High level of accuracy, organizational ability, and time management skills.
•Strong written and verbal communication skills.
•Professional demeanor with excellent customer service and interpersonal skills.
•Proficient with Microsoft Office Suite; experience with accounting and project management software preferred.
•Ability to manage multiple priorities in a fast-paced team environment.
Preferred Experience (not required):
•Experience in construction administration or contract administration.
•Familiarity with certified payroll processes and public works compliance requirements.
•Knowledge of AIA forms, lien waivers, insurance tracking, and project billing procedures.
