ABOUT OUR OPERATION
The Support and Development Center provide services to Agnico Eagle's various Canadian and / or international mining operations in a variety of areas, including administration, financial services, IT, supply chain, human resources, communications, construction as well as technical services (geology, engineering, metallurgy, infrastructure, marketing, innovation, and digital transformation).
YOUR NEXT CHALLENGE:
Reporting to a Director of Strategic Procurement, you will be part of the Supply Chain department. Your role consists of performing all aspects of the management of department documents, the supplier prequalification process, and supporting personnel in the department through a variety of tasks related to organization and communication and ensuring efficient operation of the office while adhering to Agnico Eagle's values, the health and safety code of conduct, and environmental standards.
•Ensure that Agnico Eagle document control and archiving procedures are followed
•Manage the flow of information; email, mail, and any other documents related to calls for tenders and supplier prequalification
•Manage the supplier prequalification process for the department
•Ensure the follow-up with contractors for their conformity to the WSCC and insurance certificates
•Ensure the control of documentation for the department such as RFP/Contract templates; contracts, policies, standards, processes, procedures, and guidelines
•Prepare external and internal communication and ensure that they are written according to Agnico Eagle standards
•Ensure that credit card transactions made by Buyers are well documented (according to Agnico Eagle standards) and reconcile these transactions between the bank statement and Agnico Eagle account payables
•Manage the contract management module in JDE
•Manage FLEX RFP templates in Esourcing application
WHAT YOU NEED TO SUCCEED
•1-2 years of experience as Administrative Assistant / Document Control or relevant experience
•High school diploma or equivalent; college diploma or university degree in administration preferred
•Proficiency in Microsoft Office Suite applications especially Outlook, Excel, Word & PowerPoint
•Proficiency in Sharepoint
•Must have strong interpersonal, communication and team-building skills
•Excellent time management skills and ability to multi-task and prioritize work
•Strong ability to effectively communicate in English and French (Oral and written). Selected candidates must attain a passing mark on the SPEEXX English language assessment
Your Work Schedule
•Schedule: 40 hours per week, on a 5/2 – 4/3 schedule. Possibility of remote work according to the current policy
