Full-time Assistant Project Manager based in in Fort Lauderdale, Florida.
Purpose
The purpose of this position is to provide administrative support to Project Managers and maintain
all project-related correspondence, project reports, client invoicing, and accounts receivables.

Qualifications
•Strong organizational and time management skills with the ability to prioritize tasks.
•Excellent verbal and written communication skills.
•Proficiency in Microsoft Office, Autodesk, and Bluebeam.
•Ability to handle confidential information with discretion.
•A proactive approach to problem-solving with strong decision-making skills.
•Bachelor’s degree in architecture, engineering, construction management, or related
field.
•Preferred: Bachelor’s degree in architecture, engineering, construction management, or related
field.
•Preferred: Fluency in the Spanish language.
Responsibilities
•Coordinate with client accounts payable department.
•Support Project Managers in preparing capital expenditure budgets and forecasts.
•Proactively seek opportunities to assist the project team in providing superior client
services.
•Ensure contract process is followed.
•Support the project management team to ensure work is not started without proper authorization
and documentation.
•Proactively provide all aspects of invoicing support to ensure that project managers follow the
invoicing process.
•Assist in maintaining project schedules.
•Assist project team in keeping project files current and complete using the approved filing
system.
•Execute project closeout procedures ensuring all deadlines are met. Utilize the contract
compliance checklist to confirm all items are complete before submitting for final closure.
•Exhibit developing experience and competence in the ability to perform project management
activities from the project due diligence and planning through closure.
•Ensure a clear understanding of work requested and required deadlines.
•Communicate status and completion of the assignment to requesting project manager.
•Execute complete and error-free work assignments as directed.
•Track key milestone dates for multiple projects in the client’s database.
•Provide timely and accurate project documentation and reporting.
•Ability to maintain data integrity for individual projects within the project tracking
system.
•Strong understanding of personal role and services of the company.
•Strong interest in attending networking and marketing-related events.
•Preparation of weekly meeting minutes and field reports.
•Preparation of monthly project reports.
•General office duties as necessary.
•Perform additional job duties as requested.
