JOB SUMMARY
As the Agent Relationship Coordinator, you’ll be responsible for expanding and supporting our national network of referral agents. You’ll help pair AHA customers with out-of-state real estate partners, onboard new agents, track performance, and ensure seamless communication throughout and after the transaction.
This is a relationship-driven role that requires excellent organizational skills, strong communication, and a passion for delivering great service. There is also potential to support transaction coordination tasks for our in-house agents at American Home Agents.
WHAT YOU WILL BRING
•2+ years of experience in real estate, lending, or a related administrative role
•Excellent interpersonal and communication skills
•Highly organized with the ability to manage multiple priorities and pipelines
•Comfortable using CRM systems and transaction platforms (KVCore, CTME, etc. a plus)
•Self-motivated, proactive, and adaptable to change
•Real estate license preferred
DUTIES AND RESPONSIBILITIES
•Agent Matching and Coordination
+ Pair pre-approved customers with qualified out-of-state referral agents based on location and needs
+ Send introductions and monitor engagement from initial contact through life-cycle of relationship
+ Maintain CRM records and track key milestones in the referral process
+ Support communication between borrowers, AFC mortgage consultants, and agents when needed
•Referral Network Growth and Support
+ Source and recruit top-performing agents across the country to join our referral network
+ Maintain a structured agent database, including market coverage and referral outcomes
+ Onboard new agents with clear expectations, resources, and support tools
+ Stay in touch with agents to encourage long-term engagement and repeat partnerships
+ Coordinate follow-up communication after closings to thank agents and gather insights from agents and borrowers
+ Assist in tracking success metrics and agent performance reporting Transaction Coordination
+ Creating and maintaining transaction files from contract to close
+ Communicating with buyers, sellers, title, and lending teams to ensure deadlines are met
+ Managing required compliance documents and uploading to transaction platforms
+ Sending task reminders and milestone updates to clients and agents
+ Assisting with listing setup, MLS input, and administrative support as needed
+ Strong attention to detail, multitasking, and customer service orientation are essential
