Hours of work: Full-time (37.5 hrs/wk) Flexible Work Role: Hybrid
The successful candidate will support the Chief Supply Chain Officer and will be required to act independently with a high
level of confidentiality, judgment, discretion, initiative and business acumen.
Provide coordination and administrative support for the following:
- Maintaining calendar, email, and electronic files; booking and coordinating meetings and conference calls.
- Managing incoming correspondence and requests, ensuring items are tracked, prioritized, and addressed in a timely
- Maintaining a “bring forward” system to track deadlines, action items, and follow ups.
- Preparing meeting materials, including assembling background documents and assisting with agenda preparation.
- Tracking and communicating deadlines and action items as directed.
- Prepare correspondence, presentations, and packages.
- Schedule, coordinate, prepare agendas, make room bookings, arrange presenters, take and distribute meeting minutes
and action items.
Support effective communication within the Supply Chain group by:
- Preparing and formatting meeting agendas, minutes, presentations, and routine correspondence.
- Documenting and tracking action items and following up as requested.
- Maintaining departmental organizational charts, contact lists, and email distribution lists.
- Maintaining professional working relationships with Supply Chain team members and internal stakeholders across BC
- Handling confidential information with care, discretion, and professionalism.
- Preparing routine employee documentation, onboarding checklists, and recruitment administration support.
- Coordinating team meetings and assisting with employee engagement activities and townhalls
- Processing financial transactions such as invoices, purchase orders, and expense claims, and ordering office supplies or
- Tracking completion of safety and mandatory training and supporting compliance reporting.
- Following established administrative processes and procedures and escalating issues or improvement opportunities as
- Assisting with travel arrangements and other administrative tasks or special assignments as required.
- Post secondary education or equivalent.
- An equivalent combination of education, training, and experience may be considered.
- Two to four years of administrative or office experience in a corporate or professional environment.
- Experience working with confidential information.
- Experience providing administrative support to managers or teams in a structured organization.
- Ability to work well in a team environment while managing assigned tasks independently.
- Strong organizational skills with attention to detail and the ability to manage multiple priorities.
- Proven ability to meet deadlines and adapt to changing priorities.
- Working knowledge of Microsoft Word, Excel, PowerPoint, and familiarity with SAP or PeopleSoft.
- Basic understanding of financial administration processes is an asset.
- Ability to communicate professionally and effectively.
- Knowledge of BC Hydro’s business, systems, or processes is considered an asset.
- A reliable team player with strong time management skills.
- Experience with SharePoint and/or FileNet is considered an asset.
