Job Summary
The Accounts Payable Coordinator will be responsible for managing the day-to-day accounts payable process, including invoice processing, vendor management, and payment disbursement. This role supports financial accuracy, compliance, and timely cash flow management for our construction projects. The ideal candidate will be detail-oriented, organized, and comfortable working in a fast-paced environment with multiple priorities. This position reports directly to the CFO and is supervised by the Controller/Treasurer
- Monitor and manage the billing email inbox to receive and process subcontractor and vendor invoices.
- Review invoices for accuracy, ensuring proper approvals, coding, and cost allocation.
- Identify discrepancies or errors on invoices, communicate with vendors/subcontractors, and resolve issues promptly.
- Review vendor statements, reconcile accounts, and resolve outstanding balances.
- Prepare and process vendor payments (checks, ACH, wire transfers) in line with company policies and payment terms.
- Collaborate with project directors to ensure accurate cost allocation of expenses to projects.
- Assist with month-end closing by ensuring all invoices and expenses are recorded in the correct period.
- Maintain vendor files and ensure compliance with company documentation requirements (e.g., W-9s, insurance certificates).
- Support process improvements and the implementation of new systems or tools to streamline accounts payable operations.
- Assist with audits and provide necessary documentation as requested.
- Perform other tasks as assigned
- Associate’s degree in Accounting, Finance, or related field (or equivalent work experience).
- Minimum of 2 years of accounts payable or general accounting experience.
- Strong proficiency in Microsoft Excel and other Microsoft Office applications.
- Excellent attention to detail and organizational skills.
- Strong communication and interpersonal skills.
- Bachelor’s degree in Accounting, Finance, or related field.
- Experience with construction accounting or renewable energy projects.
- Familiarity with accounting software.
- Bilingual (Fluent in Spanish).
