Position Summary:
We are seeking a reliable and detail-driven Accounting and Procurement Specialist to manage financial operations and oversee procurement for our Janitorial and Building Services company. This role is responsible for full-cycle accounting and for sourcing and managing supplies, equipment, and materials from national vendors. The ideal candidate will be comfortable working in a fast-paced, service-oriented environment and will play a key role in maintaining financial accuracy and ensuring field teams have the tools they need to operate efficiently.
Key Responsibilities:
Accounting Duties:
•Oversee daily financial operations, including accounts payable and receivable, general ledger entries, and bank reconciliations
•Prepare financial reports including profit and loss statements, balance sheets, and cash flow projections
•Process payroll and maintain compliance with labor and tax regulations
•Track job costs, project budgets, and allocate expenses appropriately across contracts and sites
•Prepare and file monthly and annual tax documents, and support year-end audits
•Maintain clean, accurate financial records to ensure compliance with industry standards and regulatory bodies
Procurement Duties:
•Source and purchase janitorial equipment, cleaning chemicals, uniforms, PPE, and building maintenance supplies
•Negotiate with national and regional vendors to obtain competitive pricing and favorable terms
•Maintain inventory levels and manage reorders for supply closets, warehouses, and job sites
•Coordinate with field supervisors to forecast supply needs and support new contract startups
•Ensure all procurement aligns with budget constraints and operational requirements
•Monitor vendor performance and maintain procurement documentation and contracts
Qualifications:
•Bachelor’s degree in Accounting, Business Administration, or related field
•3+ years of accounting and/or procurement experience, ideally in a service-based or construction-related industry
•Strong knowledge of accounting software (e.g., QuickBooks, Sage) and MS Office Suite
•Familiarity with janitorial industry supplies and vendor networks is a strong plus
•Strong communication skills, both written and verbal
•Detail-oriented with excellent organizational and time management skills
Preferred Qualifications:
•Experience in janitorial, facilities, or building maintenance services
•Familiarity with job costing and multi-site expense tracking
•Knowledge of OSHA and safety supply requirements is a plus
