Your role The Service Support Specialist provides essential administrative and operational support to the service department. This role is responsible for delivering exceptional customer service, assisting with technician time entry and managing invoices. The ideal candidate is detail-oriented, organized, and thrives in a fast-paced environment.
- Prepare and process service invoices accurately and in a timely manner.
- Follow up with customers regarding invoice status and confirm they have received the invoice.
- Assist the Service Coordinator in recording technician time worked, Weekly payroll documentation and time off requests.
- Ensure accurate and timely entry of all service-related work hours.
- Answer incoming calls for the main line and for the President, COO, and the Service team.
- Respond to email inquiries professionally and promptly via the company email account.
- Provide top-tier customer service to clients and internal stakeholders.
- Enter and maintain sales/purchase orders in the system.
- Order office supplies, maintain office equipment, and coordinate vehicle maintenance.
- 2+ years of administrative or customer service experience, preferably in a service or operations environment.
- Proficiency with NetSuite and Microsoft Office Suite. (Bonus for CoPilot experience)
- Ability to work independently and collaboratively in a team setting.
- A customer-focused approach to revamp existing client relationships and grow our service business.
- Strong research of parts and job requirement to get accurate invoicing to the customer.
Pay range for this position: $20-28 per hour (40 hours per week – In office)
