Toledo Iron Works is a fourth-generation, family-owned company with over 50 years of experience in the fabrication of high-end custom ornamental and architectural metalwork. We work on luxury residential and commercial properties, producing everything from custom railings and stair structures to glass-and-metal cladding and driveway gates.

Position Overview

We are seeking a highly organized, detail-oriented Purchasing Clerk to manage the timely and accurate processing of material orders and purchase orders. This role will support our accounting operations by ensuring accurate record-keeping, and consistent communication with vendors and internal project stakeholders.

Key Responsibilities

- Process purchase orders (POs): Prepare, review, and issue purchase orders in accordance with company policies and budget guidelines.

- Vendor communication: Contact suppliers to obtain quotes, confirm pricing, lead times, and delivery schedules.

- Inventory support: Assist with replenishment to ensure materials and supplies are available as needed.

- Order tracking: Follow up on outstanding orders to ensure timely delivery and resolve any delays or discrepancies.

- Invoice and PO matching: Verify invoices against purchase orders and receiving reports before forwarding for payment.

- Record keeping: Maintain accurate purchasing files, vendor information, and order documentation.

- Cost comparison: Assist in comparing supplier pricing and terms to ensure cost-effective purchasing decisions.

- Coordination: Collaborate with internal departments (accounting, warehouse, and production) to meet purchasing needs.

- Vendor performance: Track and report supplier performance issues, including quality or delivery problems.

- Compliance: Ensure all purchasing activities follow company procurement policies and ethical standards.

Qualifications

- Strong attention to detail and accuracy

- Excellent organizational and time management skills

- Strong communication and negotiating skills

- Proficiency with Sage Accounting Software

- Basic math and analytical skills for reviewing quotes, pricing, and cost comparisons.

- Ability to prioritize and manage multiple tasks in a fast-paced environment.

- Reliable, proactive, and able to work both independently and as part of a team.
