Position Summary:
Reporting to the Director of Global Integrated Solutions, the Proposal Manager is responsible for planning, managing, and producing high-quality, compliant, and compelling proposals in response to Requests for Proposals (RFPs), Requests for Information (RFIs), and other bid types. This role ensures that proposals meet all client requirements and align with company capabilities and strategic goals. The Proposal Manager collaborates cross-functionally with technical teams, sales, legal, finance, and executive leadership.
Key Responsibilities:
Lead the end-to-end proposal development process from pre-RFP planning through submission and post-submission follow-up.
Analyze RFP documents to understand client requirements, evaluation criteria, and deadlines.
Develop proposal schedules, outlines, compliance matrices, and content plans.
Coordinate and conduct proposal kickoff meetings, status updates, and reviews.
Write, edit, and format proposal content, ensuring technical accuracy, readability, and consistent branding.
Collaborate with subject matter experts (SMEs) to develop and refine proposal narratives and solutions.
Ensure timely delivery of compliant, well-organized, and persuasive proposals.
Maintain a proposal library of reusable content and templates.
Track and report proposal metrics, win/loss data, and lessons learned.
Contribute to continuous improvement of proposal processes, tools, and best practices.
Qualifications:
Bachelor’s degree in Business, Marketing, Communications, Engineering, or related field.
5+ years of experience managing proposals, preferably in industrial services, engineering, oil & gas, or government contracting.
Strong understanding of the full proposal lifecycle and various procurement processes (RFP, RFQ, RFI).
Exceptional organizational, writing, editing, and project management skills.
Ability to manage multiple proposals simultaneously under tight deadlines.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Acrobat.
Familiarity with proposal management tools (e.g., SharePoint, RFPIO, Loopio) is a plus.
APMP certification is a strong advantage.
