Description
A Project Support Specialist must possess a combination of business acumen, technical skills, and the ability to effectively communicate with the management team, field employees, and all internal company stakeholders. Work closely with the Managing Director to facilitate project initiation and reporting, and support financial documentation and account receivables
Essential Tasks and Responsibilities
•Project set-up, financial reporting, performance, and Accounts Receivables.
•Customer Service/Satisfaction: Work with the Managing Partner (MP) and Managing Director (MD)'s to know the customers and their needs to ensure that they are met; work diligently to insure customer satisfaction.
•Safety: Responsible for adhering to written safety and operational procedures
•Review and understand contract payment terms for projects.
•Assist in the scheduling of project meetings and internal meetings.
•Support MD's to order necessary hardware for Field Offices.
•Support Field personnel regarding the Company's IT policy.
•Assist in IT asset inventory.
•Assist in setting up project kick-off meetings and subsequent project conference calls.
•Assist in transitioning employees from project to project, as well as maintaining proper team rosters, while limiting billing capabilities to the proper Phase and Task associated with the project life cycle.
•Communicate potential cost overruns with the MD's in a timely manner.
•Review timesheets, invoices, and communicate concerns with MD's. PMO and Accounting.
•Facilitate project reporting to the MD in accord with the Client's schedule.
•Support MD to track project budget vs. actual cost.
•Assist with approving time and expenses for field employees
•Verify with the client's rep that invoices are accurate and timely.
•Coordinate with Acounting in verifying Client invoices.
•Work with MD to address unbilled and other DSO or AR-related issues.
•Other duties as assigned
Job Requirements
•High School and a minimum 5 years of related experience in Accounting or Finance or a related field or equivalent combination of education and experience
•Should have sufficient knowledge to display the ability to quickly access pertinent information to allow for informed decisions and respond to the challenges of all assigned tasks.
•General understanding of project life cycle.
•Should possess a strong knowledge of technology processes including Microsoft Office and Outlook
•Should be ready to assist in the progression of establishing, reviewing, and continually updating proper work flows to produce high standard and cost-efficient deliverables
•Should possess strong organizational skills
•Should possess strong communication and written skills
•Ability to work autonomously and to collaborate fully as a team player.
•Ability to pay close attention to details, and present good planning, organization, and time management skills.
•Ability to work in a team environment and willingness to assume additional or new responsibilities readily.
•Ability to maintain regular attendance as per work schedule agreed with manager (may require working an adjusted work schedule based on project assigned and work overtime if warranted).
•Ability to comply with applicable laws and regulations and Company policies and procedures.

•Normally spends 100% of the time in an office environment.
•Is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms, and talk or hear.
•Is occasionally required to stand, walk, and stoop, kneel, or crouch.
•Occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, and the ability to adjust focus.
