Job Title: Office Manager / Equipment Manager

Role Overview
We’re seeking an organized, proactive Office Manager / Equipment Manager to support our construction projects across the Dallas–Fort Worth area. In this fast-paced role, you’ll combine office administration, accounting support, client and crew coordination, and equipment management to keep jobs running smoothly and our team focused on delivering top-quality work.
Key Responsibilities
Office & Administrative Support
•Assist project teams with close-out duties, including archiving and maintaining accurate file records
•Keep the Project Directory, Master File Index, and Subcontractor Index up to date
•Maintain centralized filing system for both field office requirements and division office distributions
•Order, track, and service office supplies and equipment; schedule maintenance as needed
•Open, sort, and distribute incoming mail; coordinate outgoing mail and courier shipments
•Answer and direct incoming calls; take and relay messages professionally
Client & Crew Coordination
•Handle client inquiries (calls, emails, texts) promptly and courteously during business hours
•Schedule services, manage calendars for projects and recurring maintenance
Reporting & Documentation
•Produce weekly manpower summaries and track daily logs supplied by superintendents
•Assist in the assembly and submission of progress reports to owners
•Process new-hire paperwork for trade employees in accordance with company policies
•Track and maintain subcontractor and supplier compliance records (insurance, safety, RFIs, change orders)
Equipment Management
•Document and schedule routine equipment maintenance: oil changes, filter replacements, and repairs
•Track equipment registrations, emissions certifications, toll-tag accounts, and GPS trackers
•Maintain an equipment registry with service histories, upcoming maintenance deadlines, and current locations
•Coordinate with vendors and in-house technicians to ensure all equipment remains safe, compliant, and operational
Qualifications & Skills
•4+ years of clerical/administrative experience, preferably in the construction industry
•Proficiency in Microsoft Office (Word, Excel, PowerPoint)
•Strong organizational skills, acute attention to detail, and the ability to meet critical deadlines
•Excellent communication skills and the ability to work with all levels of project staff and external partners
•Comfortable multitasking in a fast-paced environment and adapting to changing priorities
Preferred
•Bilingual in English and Spanish
•Previous background in sales support, office management, or administrative roles within construction or related industries
