Position Summary
Kirksey & Co., a leading Commercial Furniture Dealership in Nashville, TN, is seeking a highly organized and detail-oriented Project Coordinator to support our sales team and clients throughout the proposal and order fulfillment lifecycle. This role is critical to ensuring operational excellence and customer satisfaction by acting as the single point of contact for project coordination, documentation, and communication.

Key Responsibilities
•Manage daily administrative workflows including creation and processing of proposals, purchase orders, acknowledgments, and bids.
•Build and revise client proposals using Khameleon software and .sif files from various design softwares.
•Verify accuracy and completeness of all documentation to ensure smooth project execution.
•Collaborate regularly with Accounting to support timely and accurate client invoicing.
•Maintain up-to-date and organized project files via SharePoint.
•Partner with sales and project managers to proactively address project requirements and resolve issues.
•Prioritize and manage multiple proposals to meet or exceed turnaround expectations.
•Support vendor and client communications and documentation needs.
•Coordinate furniture orders, ship dates, delivery locations, and installations with vendors, installers, and internal teams.
•Maintain and update the MRL (Vendor Directory) to ensure information accuracy.
•Demonstrate understanding of key furniture industry workflows including design, order entry, and project management.

Qualifications and Competencies
•Prior experience with Khameleon and .sif files preferred.
•Minimum 5 years of administrative or coordination experience in a fast-paced environment.
•Proficiency with MS Office Suite, Windows OS, and Adobe Acrobat DC.
•Exceptional time management and organizational skills.
•Strong written and verbal communication capabilities.
•Detail-oriented with a demonstrated ability to manage competing priorities.
•Self-starter with a strong sense of ownership and commitment to results.
•High School Diploma or GED required; additional education or certifications a plus.
Additional Information
•Full-time, salaried non-exempt role (Monday–Friday, 8:00am to 4:30pm).
•On-site only; remote work is not available.
•Reports to CEO and Director of Operations.
