April 2025 Scope (Purpose)
The Program Coordinator, R&D Programs, supports the effective planning, coordination, and execution of research and development initiatives. Working closely with R&D Program Managers, the Coordinator plays a vital role in ensuring the smooth delivery of program activities by managing timelines, monitoring deliverables, organizing meetings, and facilitating communication among internal and external stakeholders.
Reporting directly to a Program Manager, the Program Coordinator will also collaborate with other program managers across the R&D portfolio. This position contributes to the overall efficiency of program operations and supports a range of program management and administrative functions.
Key Accountabilities
•Ensure the smooth operation of program activities, including planning, scheduling, deliverable tracking, and communication.
•Coordinate and support key program meetings, including annual planning meetings, technical committee meetings, ad-hoc meetings, and other program planning/monitoring activities.
•Manage project change requests, ensuring timely processing and facilitating the stakeholder approval process.
•Support project closeout, ensuring all deliverables are completed and lessons learned are documented for continuous improvement.
General Responsibilities
•Coordinate the day-to-day activities of the programs, supporting Program Managers with planning, scheduling, progress tracking, and stakeholder communication.
•Collaborate with internal teams, external partners, and Conexus member organizations to facilitate R&D program functions and prioritize initiatives.
•Organize and facilitate workshops, biennial Conexus-CNSC seminars, and training sessions for the R&D programs and the Research & Development Department.
•Prepare meeting materials and minutes, ensuring accurate documentation of discussions, decisions, and action items.
•Assist in preparing annual program reports, operational plans, quarterly progress reports, vendor scorecards, and the President’s Report for approval.
•Support the development and implementation of standardized procedures, document templates, and best practices within R&D programs.
•Serve as a point of contact for program inquiries, providing timely assistance and guidance to members and stakeholders.
Requirements Education & Experience
•Post secondary education.
•Proven experience in program coordination, preferably in a technical or engineering environment.
•Knowledge of the nuclear industry, CANDU reactor technology, or related fields is an asset.

•Effective Meeting Management – Successful organization of key meetings with well-prepared materials, accurate minutes, and clear action items.
•Timely Processing of Project Changes – Prompt handling of project change requests, ensuring smooth approvals and updates.
•Accurate & Timely Reporting – High-quality program reports, operational plans, and progress updates delivered on schedule.
Work Environment
This role is based at the Conexus office in Toronto with occasional travel required.
