We are seeking a Payroll & Compensation Analyst to join our Human Resources Department. In this role, you will be responsible for the accurate and timely processing of payroll for employees in accordance with federal, state, and local regulations in both U.S. and Canada. This role will utilize Workday, the Company’s newly implemented Human Resources Information System (HRIS) for data management and payroll input, and ADP SmartCompliance for payroll tax filing, wage garnishment, and regulatory compliance. The Payroll & Compensation Analyst ensures payroll integrity, reconciles payroll data, and supports audits and reporting activities. In addition, the Payroll & Compensation Analyst will support the design, implementation, and administration of our compensation programs, ensuring our salary structures and compensation practices are competitive, cost-effective, compliant with regulations and are aligned with the Company’s strategic goals to effectively attract, retain and engage top talent. The role is based at our Reno, NV office and reports to the Total Rewards Manager with secondary reporting relationship to the Vancouver-based Finance Department. Occasional travel to other LAC offices, project sites, or vendor locations may be required.
- Administer payroll processing for employees in both the U.S. and Canada, to include bi-weekly, semi-monthly and off cycle payrolls.
- Ensure compliance with all applicable federal, state/provincial, and local laws and regulations related to payroll, compensation, taxes and employee benefits.
- Accurately calculate and withhold income taxes, social security/national insurance contributions, and other relevant taxes, and ensure timely remittances to the appropriate agencies.
- Manage employee deductions for benefits, retirement plans and other programs
- Maintain accurate and up-to-date payroll records, including employee information, pay rates, time sheets and tax details.
- Prepare and submit year-end tax forms (T4s in Canada, W-2s in the US) and other required reports.
- Process employee garnishments, child support orders and other payroll-related special requests
- Address employee questions about pay and resolve discrepancies.
- Collaborate with the Finance team to ensure smooth payroll operations, including information exchange.
- Assist with internal and external payroll audits.
- Address employee inquiries related to payroll, investigate and resolve errors in a timely manner
- Generate and distribute payroll reports for various stakeholders.
- Keep abreast of evolving tax laws, regulations and payroll software advancements in both countries.
- Maintain and update compensation structures in accordance with internal policies and compliance standards
- Assist in the administration of annual compensation cycles, including merit increases, bonuses, and salary adjustments
- Support compensation-related projects, such as pay equity studies, incentive plan design, and compensation strategy development
- Assist with share-based compensation in equity management tool with oversight of day-to-day operations including equity transaction processing, file feed management, and responding to employee inquiries
- Prepare and maintain documentation of equity-related processes for external audits and compliance with internal controls
- Participate in compensation surveys and benchmark positions to market data; use spreadsheet and data analysis techniques to assess results and market trends
- Build and maintain trusted relationships across all teams while championing a culture that reflects and supports our purpose, vision, and values
- High School Diploma/GED, required
- Associate or Bachelor’s degree in HR, Accounting, Finance, Business Administration, or related field
- Minimum of 2 years payroll processing experience, preferably in a multi-state environment.
- 2+ years experience in compensation, Human Resources, or a combination of 6 years of education and related experience.- Experience with Workday HRIS and ADP SmartCompliance is a plus
- Solid understanding of payroll regulations and best practices (FLSA, tax withholding, garnishments, etc.)
- High level of accuracy, attention to detail, and organizational skills
- Proficient in Microsoft Excel and other reporting tools
- Strong analytical, communication, and problem-solving skills
- Ability to handle sensitive and confidential information with discretion
- Experience managing payroll activities across multiple countries or regions, particularly U.S. and Canada, with an understanding and ability to work across different regulatory environments, cultural considerations, and market practices, preferred
- Familiarity with compensation surveys and tools
- Knowledge of principles and practices of payroll preparation, reporting and maintenance
