We are seeking a dedicated and detail-oriented Payroll Administrator to join our team and ensure accurate and timely payroll processing and cross training for Accounts Payable coverage.
Position Overview:
The Payroll Administrator will be responsible for processing payroll for all employees, ensuring compliance with Canadian and United States payroll laws and regulations, and maintaining accurate records. This role requires a strong attention to detail, the ability to handle sensitive information with confidentiality, and a proactive approach to payroll management.
This role will support another Payroll Administrator that we have as well. Duties will be split equally between the existing person and this new person.
This role may also be called on to assist in Accounts Payable coverage.
This is a hands-on role where initiative, organization and sober-second thought a must.
This is not a remote work position but does have some flexibility as life happens to be able to work from home on occasion.
Key Responsibilities:
•Prepare and process bi-weekly payroll for all employees.
•Ensure accurate calculation of salaries, wages, bonuses, overtime, and commissions.
•Apply appropriate deductions for taxes, benefits, pensions, and other withholdings.
•Verify and maintain accurate time and attendance records for hourly employees.
•Tax and Benefits Administration:
•Ensure proper deductions for Canadian and United States tax authorities.
•Administer and manage employee benefit deductions, including health insurance, retirement contributions, and other benefits.
•Maintain and update employee payroll records, ensuring all information is accurate and up to date.
•Respond to employee payroll inquiries and resolve any payroll discrepancies or issues.
•Reconcile T4, W2 and other required tax forms at the end of the year for employees.
•Assist in the preparation of year-end reports and ensure timely filing with the Canada Revenue Agency (CRA), Internal Revenue Service (IRS), and auditors.
•Ensure compliance with payroll legislation, including employment standards, tax laws, and payroll reporting requirements.
•Stay updated on changes to payroll laws, tax rates, and other relevant regulations.
•Prepare and provide regular payroll reports to internal members.
•Assist in budget forecasting and financial planning related to employee compensation and payroll.
•Payroll Software and Systems:
•Use payroll software ADP Workforce Now to process payroll, manage records, and generate reports.
•Maintain and troubleshoot payroll systems, ensuring the system is up to date and functioning correctly.
•Other Duties as required
•Cross Training in Accounts Payable for coverage.
•Certain HR functions maybe assigned as required. (Shared with another person)
Qualifications:
•High school diploma or equivalent; post-secondary education in accounting, finance, or a related field is preferred.
•Proven experience in payroll administration or a similar role.
•Strong knowledge of Canadian payroll laws and tax regulations.
•Strong knowledge of United States payroll laws and tax regulations.
•Experience with ADP WorkForce Now and Microsoft Suite is a plus.
•High attention to detail and accuracy.
•Strong organizational and time-management skills.
•Ability to maintain confidentiality and handle sensitive information.
•Strong communication skills to interact with employees and management.
•Ability to work independently and in a team environment.
•Payroll Compliance Practitioner (PCP) designation is an asset, but not required.
Working Conditions:
•Full-time, 40 hours per week, in SE Calgary office with flexible working arrangements on an ad hoc basis.
