Position Summary: We are seeking a detail-oriented and proactive Onboarding Specialist to manage and execute the onboarding process for utility-scale solar and battery energy storage system (BESS) projects. This role will serve as a key point of coordination across internal departments and external vendors, ensuring a smooth transition from project approval through Care, Custody, and Control (CCC) handoff.
The ideal candidate will demonstrate strong project management skills, knowledge of renewable energy systems, and the ability to work cross-functionally to align goals and expectations across teams.
In the first 90 days, The On-Boarding Specialist will:
- Evaluate and standardize existing onboarding workflows across solar and BESS projects.
- Establish clear onboarding checklists, documentation requirements, and communication protocols.
- Collaborate with key stakeholders to identify bottlenecks and implement process improvements.
- Become fully familiar with internal tools, templates, and compliance standards.· Lead the onboarding process from project approval to CCC handoff.
· Monitor project onboarding milestones, timelines, and deliverables.
· Resolve any delays or obstacles during onboarding through cross-functional coordination.
· Upload all documentation from EPC’s file share program to internal HCU software
· Create PM schedules and align with the Field Operations team to deploy SOP’s based off the equipment onsite
· Interface with Business Development, SCADA, Site Teams, HR, Legal, EHS and EPC teams to align goals.
· Serve as the primary point of contact for onboarding status and questions.
· Coordinate and communicate effectively with internal and external stakeholders.
· Ensure all project-related documentation, including regulatory filings, warranty docs, and plans, are properly compiled, submitted, and archived.
· Collaborate with legal and compliance to adhere to industry standards and policies.
· Vendor and Contractor Coordination / 10%
· Liaise with procurement, HSE and external vendors to ensure materials and services are scheduled and delivered as needed for project handover
· Reporting and Continuous Improvement / 15%
· Maintain accurate onboarding records and project tracking dashboards.
· Generate weekly updates for Field Operations leadership.
· Support lessons learned reviews and onboarding process refinement.

· 3+ years of experience in renewable energy project management, field operations, or site commissioning.
· Strong knowledge of solar PV and BESS technologies, documentation standards, and construction workflows.
· Bachelor’s degree preferred in Engineering, Business, or related field; or equivalent hands-on experience.
· Proficient in Microsoft Office Suite (Excel, Word, Outlook), project management platforms, and cloud-based documentation tools.
· Ability to operate independently with minimal supervision in a dynamic and fast-paced environment.
· Experience collaborating with technical and non-technical teams to meet operational deadlines.
· Prolonged periods of sitting at a desk and working on a computer.
· Manual dexterity sufficient to operate standard office equipment, such as computers, copiers, scanners, and telephones.
· Hearing ability to communicate effectively via telephone, video conference, and in-person interactions.
· Ability to lift up to 15–25 pounds occasionally (e.g., boxes, binders, ETC).
· Repetitive hand movements for typing and document handling.
· Occasional travel may be required to attend On-site meetings and Office meetings (up to 25%)
