Position Description:
Nevada Gold Mines is looking for an Administrative Assistant to join the Training Mine team. The successful Administrative Assistant candidate will be responsible for administrative support for the NGM Training Mine department.
Responsibilities:
•Reporting to the NGM Training Mine Manager, the Administrative Assistant is responsible for the following:
•Under limited supervision, perform a variety of administrative duties, requiring knowledge of department policies and procedures.
•Utilize peers and direct supervisor for a moderate amount of guidance.
•Serve as a liaison between leadership and employees, schedule appointments, meetings, event planning and coordination as necessary.
•Coordinate with divisional trainers, business partners, and internal employees to schedule training sessions.
•Coordinate and communicate training mine program next steps to new hire and transferring NGM employees reporting to Training Mine.
•Once trained on various applications and systems with the expectation of auditing, uploading documentation, running reports, establishing digital forms, and other aspects of the associated systems.
•Scanning and filing with advanced knowledge of storage systems to maintain and update files, training records, and publications as necessary for both internal and external personnel.
•Assist with document control implementation, document updates to comply with the document control procedure, maintenance, and continuous improvement.
•Support and train respective personnel on training systems, training record management, document control center, and Learning Management System (LMS) utilization and accordance.
•Compile and prepare data for training statistics, reports, and presentations.
•Monitor, respond and/or circulate mail, records, and publications as appropriate.
•Compose correspondence, edit documents, and transcribe meeting minutes as necessary.
•Maintain office supplies, order, and generate requests for payment.
•Perform copying, collating, binding, packaging, etc., and disseminate routine and other documents as requested by department personnel including mail/messenger/meeting preparations.
•Effective time management, trouble shooting and problem solving for assignments and project coordination as requested.
•Interact with small groups and effectively express ideas.
•Continuously collaborate with site subject matter experts to gain knowledge and understanding of training processes and systems.
•Seek out and optimizes on development opportunities.
•Perform other duties as assigned.
Qualifications:
•Knowledge and skills equivalent to that gained through a minimum of four (4) years clerical/secretarial experience; still acquiring knowledge and exposure to fundamental training principles and concepts preferred
•Excellent front line, professional environment customer service skills with the ability to communicate and interact effectively with internal and external stakeholders required
•A certain degree of creativity and latitude required
•Ability to handle confidential information with discretion required
•Advanced knowledge of Microsoft Office Suite (Excel, Word, Outlook, Power Point, Visio) Oracle, SAP, or similar ERP required
•Advanced experience with electronic filing systems and excellent organizational skills required
•Effective time management to organize and prioritize a heavy workload in a fast-paced, demanding environment required
•Ability to work unsupervised, and understand/follow work standards and procedures required
