Your mission (What you’re in for)
Delivering products safely, on-time and profitably is Northgate Express’s core business. In the dispatcher role, you will be at the hub of each delivery. Your primary duty is to keep our customers taken care of and our drivers moving, using each moment of a drivers shift to maximize driver production and customer satisfaction. By coordinating and communicating with the general manager and office staff, you ensure there are enough loads to keep the driver moving for his/her full shift without breaching their hours-of-service limitations. The dispatcher provides drivers with key delivery information including customer instructions, tank sizes, and delivery windows to avoid costly errors such as spills, commingles and accidents. You will be in contact with drivers and customers throughout the day; monitoring their progress, notifying them of changes, anticipating potential delays and offering alternatives to avoid them. In this role, you must be able to rapidly and calmly respond to all driver issues and concerns including emergency situations such as fuel spills and accidents, as well as customer questions/concerns as they arise.

Communicating assigned loads to drivers, using a variety of technologies, such as Microsoft OneDrive, Samsara Fleet Tracking, Trinium Fuel Software, texting, etc.
Proactively monitoring where drivers are, how long they have been there and where they are going.
Handling allocation issues that occur at the pipeline terminal.
Coordinating with office staff and sales to obtain additional loads as needed.
Utilizes Eagle CMMS (Computerized Maintenance Management System) to stay up to date on compliance PM’s (preventative maintenance items), track vehicle repairs and other work orders.
Coordinate with management to ensure optimum operational efficiency and maintenance of all Company equipment
Prepares daily dispatch records and communications, and maintains filing system for Driver Vehicle Inspection Reports (DVIR) and Department of Transportation (DOT) files.
Completes, documents and maintains- customer location maps, special route details, and accurate log of customer keys/combinations.
Assists in organizing the drivers’ monthly safety training.
Ensures that drivers are certified and comply with supplier loading requirements.
Follows policies and procedures to ensure that products never have unscheduled shortages. (I.E. assists in the setup of customer Ship To’s and Keep Fulls utilizing tank monitors)
Compiles and maintains the list of available vehicles, including all registration, licensing and certification expiration dates and other related vehicle information.
Assists in maintaining transportation truck and driver files—weekly, monthly, and yearly.
Provide accurate, consistent information and high-quality service to drivers, customers and everyone with whom you interact.
Create clear notes for drivers and anyone who is assisting you or filling in for you.
Updating software and closing orders according to company and customer specifications after delivery.
Enthusiastically and respectfully notifying customer if driver is delayed or of unforeseen circumstances.
Monitoring and responding to the order inbox with professionalism.
Handling customer issues and concerns with respect and gratitude.
Remain calm, following procedure, and guide drivers during incidents and accidents.
Qualifications (Education, Knowledge, Skills, Abilities & Experience)
Knowledge of the transporation industry, DOT rules and regulations preffered.
Basic knowledge of Microsoft Outlook and OneDrive (…and an interest in learning more!)
Basic Knowledge of Microsoft Excel (…and an interest in learning more!)
Excellent interpersonal skills, does not become involved in drama.
Ability to remain calm and professional under stress
Dispatching experience in a transportation environment strongly preferred
Experience in a customer service environment. You must truly enjoy customer service!
CDL, HazMat, tank endorsement and 1 year experience w/ clean record (Highly preferred & includes additional compensation)

Requires constant hearing, talking and repetitive movement of wrists, hand and/or fingers.
Must be able to lift up to 80 lbs
Experience in this position is based on previous dispatch experience, understanding of trucking compliance, petroleum industry knowledge, prior customer service and sales successes, etc.
Incentives also available for taking overflow or after-hours/weekend callout deliveries.
· Local deliveries – Mon to Fri (occasional weekends)
