PURPOSE OF POSITION:
Are you an experienced event professional with a passion for delivering high-impact experiences? AME is seeking a strategic and detail-oriented Events & Conference Lead to oversee the planning, coordination, and execution of our full portfolio of events, including AME Roundup, our flagship annual conference that welcomes over 6,500 participants from across the mineral exploration sector.
In this role, you will lead the end-to-end management of in-person, virtual, and hybrid events, working closely with internal teams, industry partners, sponsors, and vendors to deliver exceptional, inclusive, and professional experiences. From content development and logistics to stakeholder engagement and post-event reporting, you will play a key role in advancing AME’s mission and strategic priorities through exceptional delivery of professional, impactful, and inclusive events that provide meaningful educational content, facilitate networking, and strengthen the mineral exploration and development community.
RESPONSIBILITIES:
Event Planning and Execution
•Coordinate and oversee the planning, execution, and evaluation of all aspects of AME Roundup and other events, including set up, vendor logistics, and tear-down.
•Serve as the primary point of contact for exhibitors, registrants, members, sponsors, speakers, and volunteers, overseeing inquiries, registration, invoicing, and on-site logistics.
•Research relevant events and industry trends to develop new company event programming.
•Support the delivery of webinars, workshops, golf tournaments, town halls, networking events, open houses, fundraisers, and member mixers, ensuring alignment with organizational goals and member interests.
•Develop and manage event budgets, track expenses, and ensure all events are delivered within financial parameters while maintaining high-quality execution.
•Assist with volunteer recruitment, scheduling, registration, and on-site supervision; ensure volunteers are supported, informed, and recognized appropriately.
Exhibitor and Vendor Management
•Manage vendor and contractor relationships for all events, including contract negotiations and service delivery oversight.
•Handle all logistics related to exhibitor services, including booth assignment, communication, speaker logistics, technical preparation, AV, catering, and on-site support.
•Collaborate with venue staff and suppliers to ensure compliance with accessibility, safety, and operational requirements.
•Monitor and evaluate vendor performance, ensuring quality standards and service delivery are met throughout the event.
Communications and Web Content
•Collaborate with the marketing team to develop and deliver timely, engaging content for print, digital, social media, and email campaigns, ensuring all materials align with event goals, branding, and drive audience engagement.
•Contribute to content and ensure that the company's online events calendar is current; provide regular updates of upcoming events to staff as required.
•Development of post-event communications and promotional recaps that highlight key outcomes and engagement.
Post-Event Reporting and Data Management
•Track key metrics related to participation, sponsorship, registration data, participant feedback, and attendee experience.
•Assist in identifying trends and opportunities for enhancing event impact and efficiency.
•Assist in preparing briefing notes, speaking points, and event-related documentation.
•Maintain accurate documentation and filing systems for event planning, contracts, correspondence, and budgets.
•Support the development and management of the conference budget, including the review, organization, and coding of invoices and the timely processing of payments, tracking expenditures, reconciling financial records, and ensuring accurate reporting.
Other duties as required or directed by the Vice President, Events & Operations.
QUALIFICATIONS:
Education
•A degree, diploma, or post-graduate certificate in event management, event planning, or a similar field is an asset.
•Certifications as a Certified Meeting Professional (CMP) or Certified Special Events Professional (CSEP) is an asset but not required.
Experience
•A minimum of 3-5 years of direct experience in event planning, preferably within a corporate environment. A combination of transferable skills, knowledge, lived experience, and comparable qualifications will be considered.
•Demonstrated ability to handle confidential information with discretion and integrity.
•Proficiency in Microsoft Office, Adobe, Zoom, YouTube, and Customer Relationship Management (CRM) software. Experience with Smartsheet is considered an asset.
•Experience in or familiarity with the mineral exploration or development industry is considered an asset.
•Familiarity with budgeting and financial processes is an asset.

•Occasional work travel mainly within BC and Canada.
WHAT WE OFFER:
•Competitive Compensation:
Receive a salary package ranging from $65,000 to $75,000, reflective of your experience and the skills you bring to the role. We believe in recognizing and rewarding your contributions.
Your base salary will be reviewed annually before the start of each fiscal year, with potential increases based on individual performance and the overall financial and operational performance of AME.
Be eligible for an annual discretionary bonus, determined by the achievement of defined goals and objectives and subject to company performance.
